Operations Assistant – Personal Injury & Criminal Divisions

Location: Elkhart, Indiana
Employment Type: Full-Time

Job Summary: We are seeking a highly organized and adaptable Operations Assistant to support both our Personal Injury and Criminal divisions. This role is essential in maintaining daily office operations, ensuring efficient case flow, and providing excellent client service.The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced legal environment where accuracy and accountability are critical.

Key Responsibilities (Responsibilities are not exhaustive and may evolve based on business needs.)

File and maintain physical and electronic case documents
Answer incoming phone calls and direct them appropriately
Make outbound calls to clients, providers, and other parties as needed
Assist with cash handling and processing payments
Meet with clients in-office and provide general assistance
Scan, organize, and sort documents accurately
Upload and maintain documents within case management systems
Draft basic court documents and assist with legal documentation preparation
Check attorney calendars and ensure there are no scheduling conflicts
Coordinate and assist with scheduling as needed
Assist with front desk responsibilities and provide coverage when needed
Assist in daily operations and support both divisions as needed
Perform additional administrative and operational duties as assigned

Qualifications & Skills

Strong organizational and multitasking abilities
Excellent communication and customer service skills
High attention to detail and accuracy
Ability to adapt to shifting priorities
Comfortable handling confidential information
Basic computer proficiency (Microsoft Office required; legal software a plus)
Previous office or legal experience preferred, but not required
