Position Summary

Brookview Healthcare Center is seeking a professional, friendly, dependable, and organized Receptionist to serve as the first point of contact for residents, families, visitors, employees, vendors, and community members.

The Receptionist plays an important role in creating a welcoming environment while providing administrative and clerical support to facility leadership and staff. This position requires excellent customer service skills, professionalism, confidentiality, and the ability to manage multiple responsibilities in a busy healthcare environment.

Essential Duties & Responsibilities

· Greet residents, families, visitors, applicants, vendors, and staff in a friendly and professional manner.

· Answer incoming telephone calls promptly and courteously and direct calls to the appropriate department or staff member.

· Take accurate messages and ensure they are delivered in a timely manner.

· Monitor the reception area and maintain a clean, organized, and welcoming front entrance.

· Assist visitors with facility sign-in procedures and provide directions as needed.

· Maintain visitor confidentiality and follow facility privacy and security procedures.

· Provide general clerical and administrative support, including filing, copying, scanning, faxing, and preparing documents.

· Receive, sort, and distribute incoming mail, packages, and deliveries.

· Assist with outgoing mail and correspondence as requested.

· Assist residents and family members with general questions and direct concerns to the appropriate department.

· Communicate effectively with Nursing, Human Resources, Social Services, Business Office, Admissions, Dietary, Activities, Housekeeping, and other departments.

· Assist with employment applications and direct applicants to Human Resources when appropriate.

· Maintain confidentiality of resident, employee, and facility information in accordance with HIPAA and facility policies.

· Follow established emergency, safety, infection-control, and security procedures.

· Notify appropriate staff of unusual situations, resident/family concerns, or emergencies.

· Perform additional administrative duties and special projects as assigned.

Qualifications

· High school diploma or GED required.

· Previous receptionist, administrative, customer service, or healthcare experience preferred.

· Experience in a skilled nursing facility, long-term care facility, or other healthcare setting is a plus.

· Strong verbal and written communication skills.

· Excellent customer service and interpersonal skills.

· Professional appearance, attitude, and telephone etiquette.

· Ability to maintain confidentiality and handle sensitive information appropriately.

· Basic computer skills, including experience with email and Microsoft Office programs.

· Ability to organize work, prioritize responsibilities, and multitask in a fast-paced environment.

· Must be dependable, punctual, and able to work scheduled hours.

· Must demonstrate patience, compassion, and respect when interacting with residents and families.

Physical Requirements

The employee must be able to perform the essential functions of the position, with or without reasonable accommodation. Duties may include prolonged periods of sitting, computer and telephone use, standing, walking, reaching, and occasionally lifting or carrying office materials.
