Full Job Description

Referral & Patient Access Specialist

Our multi-provider practice is seeking a highly organized, compassionate Referral Coordinator/Surgery Scheduler to support our busy OB/GYN and family practice. This multifaceted role manages referrals, surgery scheduling, medical records, and prior authorizations while helping ensure patients receive timely, coordinated care.

The ideal candidate is detail-oriented, comfortable working in a fast-paced medical office, and committed to providing respectful, patient-centered service.

Responsibilities

Coordinate specialist referrals, including obtaining required documentation, insurance information, and appointment details
Schedule outpatient and hospital-based surgical procedures; communicate pre-operative instructions and coordinate with surgeons, hospitals, and anesthesia teams
Obtain and track prior authorizations for procedures, imaging, medications, testing, and specialty services
Verify insurance eligibility and benefits as needed
Process, maintain, and release medical records in accordance with HIPAA and practice policies
Respond to patient, provider, hospital, and insurance-company inquiries professionally and promptly
Maintain accurate referral, authorization, surgery, and medical-records documentation in the electronic health record
Follow up on pending authorizations, referrals, records requests, and scheduling needs
Work closely with physicians, clinical staff, front-desk personnel, and outside facilities to support continuity of care
Help identify barriers to care and assist patients in navigating insurance and scheduling requirements

Qualifications

High school diploma or equivalent required; medical office training or certification preferred
Prior experience in a medical office, OB/GYN, family practice, referral coordination, surgery scheduling, medical records, or insurance authorization strongly preferred
Knowledge of medical terminology, insurance verification, prior authorization processes, and HIPAA requirements
Experience using electronic health records and practice-management systems
Strong attention to detail, time-management skills, and ability to manage multiple deadlines
Excellent written, phone, and interpersonal communication skills
Ability to handle confidential information with discretion and professionalism
