Full Job Description

We are an established commercial and residential HVAC contractor seeking an experienced Office Manager/Accountant to oversee our accounting operations and commerical project administration. This is a key leadership position for someone who is highly organized, detail-oriented, and experienced with commercial construction billing.

Responsibilities:

Manage Daily Office Operations
Accounts Receivable, Accounts Payable, Weekly Payroll and general ledger accounting
Bank Reconciliation
Simple IRA Contributions, Benefits Administration, Vacation tracking
Sales/ Use & Excise Tax Reports
Prepare Monthly Financial Reports
Quarterly/Annual Payroll Reports and Year-End Tax Preparation
Invoicing Shop Cards and Service Calls
Tracking/Recording all Project Costs (Shop, Commercial Contracts)
Commercial Project PayApps (AIA Documents)
Scheduling Dispatch Service Appointments (Field Service Management Software)
Registration of Equipment for Warranty and Processing Warranty claims
Keep Abreast of past due accounts

Qualifications: Applicant must have 5 years experience demonstrating a solid understanding of basic accounting and bookkeeping principals. Application must have strong knowledge of commercial construction accounting and experience in preparing/managing AIA documents. Knowledge of Sales and Use Tax, Excise Tax, and Tax-Exemption required. Proficiency with Quickbooks, MAC Software, and Excel is a must. Must be capable of working independently, be self-driven and providing team support. Customer friendly and Professionalism a must.
