We are seeking a dynamic and detail-oriented Customer Service Coordinator specializing in Quotes and Scheduling to join our team. In this pivotal role, you will serve as the primary point of contact for clients, managing quote requests, scheduling appointments, and ensuring seamless communication across departments. Your energetic approach will drive customer satisfaction, foster strong relationships, and support our sales and project management initiatives. This position offers an exciting opportunity to contribute to a fast-paced environment where your organizational skills and customer-centric mindset will shine.

Duties

Respond promptly to customer inquiries regarding quotes, scheduling, and service options through various communication channels.
Coordinate and schedule appointments efficiently, ensuring optimal resource allocation and client satisfaction.
Manage and update client information within CRM systems such as Salesforce, maintaining accurate records of interactions and transactions.
Collaborate cross-functionally with sales, project management, and technical teams to align scheduling and client needs.
Prepare detailed quotes based on client specifications, ensuring clarity and accuracy before submission.
Track order progress and follow up with clients to confirm appointment details or provide updates on project timelines.
Utilize data-driven insights to improve scheduling processes, enhance customer experience, and support sales strategies.

Requirements

Demonstrated project management skills with the ability to handle multiple tasks simultaneously while maintaining attention to detail.
Excellent communication skills—both written and verbal—to effectively engage clients and internal teams.
Familiarity with Microsoft Office Suite (Word, Excel, Outlook) for documentation and analysis purposes.
Ability to work collaboratively across departments in a fast-paced setting while maintaining professionalism.
Analytical mindset with the ability to leverage data for decision-making and process improvements.
Remains calm under pressure
Ability to work in a fast-paced environment and perform a variety of tasks with a sense of urgency
Ability to prioritize work tasks and handle appropriately
Ability to redirect and change tasks quickly, and re-prioritize as new needs arise
A team-oriented individual with the ability to deal effectively with all levels of staff in the resolution of problems and the completion of tasks
Ability to process and integrate complex information and appropriately exercise independent judgment
Strong organizational skills necessary to organize and deal with workload that involves tight deadlines, managing multiple tasks and project simultaneously as well as confidentially.
Excellent personal computer skills including skills in Microsoft Word, Excel, Outlook, QuoteWerks (or similar program management software) required
Provide exceptional administrative support to the team, including answering phone calls, responding to emails.
Perform data entry tasks using various software applications, including some custom software applications.
Utilize computer literacy to complete tasks efficiently and accurately.
Serve as a personal assistant to the management team, scheduling appointments, acting as an intermediary, or representative.
Maintain accurate and up-to-date records, including confidential documents.
Demonstrate excellent phone etiquette and be prepared to answer complex phone calls.
Perform other administrative duties as requested.
Associate's Degree preferred
