PRIMARY FUNCTION
The Morning Care Coordinator is responsible for the daily supervision, safe operation, staffing, and regulatory compliance of the Boys & Girls Club of the Bellport Area Morning Care Program. This supervisory position provides on-site leadership during all morning program hours, directs Morning Care Youth Professionals, maintains required documentation, supports positive youth development, and ensures children transition safely and successfully to the school day.
SUPERVISORY RESPONSIBILITIES
- Serve as the designated on-site director and person in charge during Morning Care operating hours.
- Provide direct supervision, coaching, direction, and performance feedback to Morning Care Youth Professionals and other assigned staff.
- Assign staff responsibilities and ensure required staff-to-child ratios and group sizes are maintained at all times.
- Lead daily staff communication, clarify expectations, and address performance or compliance concerns promptly.
- Coordinate staff coverage and immediately notify the SACC Director of absences, staffing shortages, or circumstances affecting safe program operation.
- Model professional conduct, appropriate boundaries, positive behavior support, and consistent implementation of BGCBA policies.
KEY ROLES AND RESPONSIBILITIES
- Open and prepare the Morning Care Program each day and ensure rooms, materials, attendance systems, and safety equipment are ready before children arrive.
- Oversee child arrival, authorized sign-in, attendance reconciliation, breakfast or snack service when applicable, structured activities, and dismissal or transition to school.
- Maintain active supervision of all children and ensure staff are appropriately positioned and engaged.
- Plan and oversee age-appropriate recreational, social-emotional, and enrichment activities that provide a welcoming start to the school day.
- Build positive relationships with children and families and communicate professionally regarding routine program matters.
- Implement BGCBA behavior management practices and provide staff support during behavioral or emotional concerns.
- Ensure accurate completion of attendance records, incident and injury reports, medication or health documentation, safety checklists, and other required records.
- Conduct daily inspections of program spaces and report or correct safety, facility, or equipment concerns immediately.
- Coordinate safe transitions to buses, classrooms, school personnel, or other authorized destinations and verify that every child is accounted for.
- Respond to emergencies and implement evacuation, lockdown, shelter-in-place, medical, missing-child, and other required safety procedures.
- Report suspected child abuse or maltreatment in accordance with mandated reporter obligations and BGCBA procedures.
- Maintain confidentiality of child, family, employee, and agency information.
- Communicate significant incidents, regulatory concerns, family concerns, and operational needs to the SACC Director in a timely manner.
- Participate in required meetings, training, drills, professional development, and program quality improvement activities.
- Perform other duties assigned by the SACC Director or agency leadership.
OCFS COMPLIANCE AND ON-SITE DIRECTOR REQUIREMENTS
The successful candidate must meet and continuously maintain all education, experience, background clearance, health, training, and other requirements established by the New York State Office of Children and Family Services (OCFS) for a director of a licensed school-age child care program under 18 NYCRR Part 414. Appointment is contingent upon agency verification and, when applicable, OCFS approval of the candidate's qualifications.
- Must qualify as a school-age child care program director through an education-and-experience pathway permitted by current OCFS regulations, including the required direct experience working with children under age 13 and required supervisory experience in child care or a related field.
- Must complete and maintain all required comprehensive background checks, fingerprinting, State Central Register clearances, references, medical statements, and other pre-employment documentation.
- Must complete all required OCFS health and safety training, mandated reporter training, orientation, and ongoing annual training within required timeframes.
- Must maintain current CPR, First Aid, and AED certification appropriate to the program, or obtain certification within the timeframe required by BGCBA and OCFS.
- Must remain on site and available to staff, children, and families throughout assigned program hours unless formally relieved by another qualified designee.
- Must demonstrate working knowledge of OCFS requirements concerning supervision, ratios, behavior management, child abuse and maltreatment reporting, emergency procedures, health and safety, recordkeeping, and staff qualifications.
QUALIFICATIONS
- Education and experience sufficient to meet the current OCFS school-age child care director qualification requirements.
- Minimum of two years of direct experience working with children under age 13, including at least one year in a supervisory capacity in a child care program or related youth-serving setting, unless another qualification pathway is expressly permitted and approved under current OCFS regulations.
- Prior experience supervising staff and coordinating daily program operations is required.
- Experience in an OCFS-licensed school-age child care program is strongly preferred.
- High level of reliability and punctuality, with the ability to consistently report by 6:30 a.m.
- Effective verbal and written communication, documentation, conflict resolution, and staff leadership skills.
- Ability to use Google Workspace, attendance systems, email, and other agency technology.
- Valid New York State Driver License preferred.

- Ability to lead a team and hold staff accountable for supervision, safety, attendance, and program expectations.
- Ability to maintain awareness of the entire program environment and respond quickly to changing needs.
- Ability to communicate calmly and professionally with children, families, employees, school personnel, and agency leadership.
- Ability to make sound decisions during emergencies and follow the established chain of command.
- Knowledge of positive youth development, trauma-informed practice, inclusive programming, and developmentally appropriate behavior support.
- Strong organizational skills and attention to detail in maintaining regulatory and program documentation.
PHYSICAL REQUIREMENTS
Ability to perform the physical aspects of the position, including standing and walking for extended periods; bending, kneeling, reaching, and stooping; participating in indoor and outdoor activities; responding quickly in an emergency; maintaining visual and auditory supervision; and lifting or carrying up to 50 pounds with or without reasonable accommodation.
WORKING CONDITIONS
- Part-time, in-person position scheduled Monday through Friday from 6:30 a.m. to 10:30 a.m.
- Work is performed in indoor and outdoor child care environments with moderate to high activity and noise levels.
- Consistent attendance and timely arrival are essential functions because the program cannot open or operate without appropriate qualified on-site supervision.
- Additional training, meetings, or special assignments may occasionally be scheduled outside regular morning program hours with advance notice.
