Full Job Description

Overview
We are seeking a dynamic and highly organized Office & Project Management Assistant to join our team. This role is vital in ensuring the smooth operation of daily office functions and supporting project coordination efforts. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to manage multiple tasks efficiently. This paid position offers an exciting opportunity to contribute to a collaborative environment where organizational excellence and customer support are prioritized.

Duties

Interface with customers, be it on the phone or in person, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Oversee office management tasks such as filing, data entry, calendar management, and maintaining office supplies
Provide administrative support for ongoing projects, including scheduling meetings, preparing agendas, and tracking project deadlines
prepare and file for permits on various jobs in various states and cities
Utilize computer skills in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, and Google Workspace for document creation, editing, and collaboration
Perform bookkeeping duties using QuickBooks to manage invoices, expenses, and financial records accurately
Support customer service efforts by assisting clients via phone or email, ensuring prompt and courteous responses
Conduct proofreading of documents and correspondence to ensure clarity and professionalism
Maintain organized filing systems—both physical and digital—and ensure data entry accuracy for all records

Requirements

10+ years of office experience a must
Proven office experience with strong clerical and administrative skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
Proficiency in Adobe, PDF manipulation
Experience with QuickBooks or similar bookkeeping software is highly desirable
Experience with Service Fusion or similar service software is highly desirable
Excellent organizational skills with the ability to prioritize tasks effectively
Strong typing skills and computer literacy for efficient data entry and document management
Bilingual abilities are a plus to support diverse client interactions
Knowledge of multi-line phone systems and proper phone etiquette
Previous experience in office management or personal assistant roles preferred
Exceptional attention to detail for proofreading, filing, and record-keeping tasks
Ability to handle multiple responsibilities simultaneously while maintaining professionalism and a positive attitude
