A growing Long Island nonprofit organization is seeking an experienced Finance & Operations Director to provide strategic and day-to-day leadership across financial management, administration, human resources, technology, vendor relationships, and organizational operations.
Working closely with the Executive Director and Board of Directors, the Finance & Operations Director will help ensure that the organization has strong financial controls, efficient operational systems, effective administrative processes, and the infrastructure necessary to support continued organizational growth.
This position is ideal for a highly organized, detail-oriented professional who enjoys working in a mission-driven nonprofit environment and is comfortable balancing strategic planning with hands-on responsibility.
Key Responsibilities
Financial Management & Administration
- Oversee the organization's day-to-day financial operations, including accounts payable, accounts receivable, deposits, reconciliations, and cash-flow management.
- Work closely with the organization's bookkeeper and external accounting professionals to maintain accurate financial records and reporting.
- Assist the Executive Director and Board of Directors with annual budgeting, financial forecasting, financial reporting, and long-term financial planning.
- Prepare and/or coordinate monthly and quarterly financial reports for organizational leadership and the Board.
- Develop and maintain appropriate financial policies, procedures, internal controls, and documentation.
Grants & Compliance
- Coordinate financial aspects of organizational grants, including budgets, reporting requirements, reimbursement requests, and grant vouchers.
- Maintain accurate records and information within applicable grant management platforms.
- Assist with preparation for annual audits, reviews, tax filings, and other regulatory or compliance requirements.
Human Resources & Administration
- Oversee administrative and operational staff and coordinate workflows across the organization.
- Manage key HR processes, including employee onboarding and offboarding, benefits administration, insurance renewals, employment documentation, and employee-related administrative matters.
- Maintain confidential personnel and organizational records.
- Coordinate with insurance providers, payroll providers, benefits administrators, and other outside professionals as needed.
Operations & Vendor Management
- Oversee day-to-day administrative and operational functions to ensure the organization runs efficiently.
- Manage relationships with vendors, contractors, service providers, and professional consultants.
- Negotiate contracts, pricing, and service agreements when appropriate.
- Monitor recurring organizational expenses and identify opportunities to improve efficiency and control costs.
- Maintain appropriate organizational records, licenses, contracts, and service agreements.
Technology & Systems
- Serve as the primary internal point of contact for organizational technology and systems.
- Coordinate website updates and maintenance with internal staff and outside providers.
- Oversee organizational computers, phones, software, user accounts, and other technology needs.
Fundraising & Organizational Support
- Coordinate financial and operational aspects of major annual fundraising initiatives and events.
- Support planning and execution of additional fundraising and donor engagement events throughout the year.
- Assist with preparation of sponsorship materials, donor communications, newsletters, and other organizational publications and collateral.
- Develop and maintain relationships with nonprofit, community, and professional partners where collaboration may benefit the organization.
- Provide administrative and financial support to the Executive Director and Board of Directors as needed.
Qualifications
- Bachelor's degree in accounting, finance, business administration, nonprofit management, or a related field preferred.
- 3–5+ years of progressive experience in nonprofit finance, operations, administration, accounting, or a related field.
- Strong understanding of nonprofit financial management and internal controls.
- Experience with budgeting, financial reporting, payroll, accounts payable/receivable, and grant administration.
- Strong organizational and project-management skills with exceptional attention to detail.
- Ability to handle confidential financial and personnel information with discretion.
- Strong written and verbal communication skills.
- Ability to work independently while collaborating effectively with leadership, staff, volunteers, Board members, and external partners.
- Comfortable working in a small nonprofit environment where priorities can shift and the successful candidate may need to be both strategic and hands-on.
Preferred Technical Experience
Proficiency with Microsoft Office, particularly Excel and PowerPoint, is required. Experience with QuickBooks, ADP, Constant Contact, donor/fundraising databases, grant management platforms, and nonprofit volunteer-management systems is strongly preferred.
