Full Job Description

Our property management company is seeking a professional, organized, and customer-focused Receptionist & Office Support team member. This position is the communication hub of our office, and the primary responsibility is providing exceptional customer service through phone and email communication. You will be the first point of contact for residents, property owners, vendors, and prospective tenants, making professionalism, responsiveness, and excellent communication skills essential.

As our office operates by appointment only, this role is focused on managing incoming calls, responding to emails, coordinating appointments, and providing administrative support to the property management team.

This position is ideal for someone seeking a consistent part-time schedule with the opportunity to work additional hours during busier times of the month.

Schedule

Part-time: Three (3) days per week
4 hours per day (approximately 12 hours per week)
Additional hours may be available during the first two weeks of each month to assist with increased call volume, resident inquiries, and monthly administrative tasks.
Applicants should have a flexible schedule and be available to work additional hours when needed.

Key ResponsibilitiesCommunication (Primary Responsibility)

Answer a high volume of incoming phone calls promptly, professionally, and courteously.
Monitor and respond to emails in a timely, accurate, and professional manner.
Communicate effectively with residents, property owners, vendors, prospective tenants, and team members.
Route calls and messages to the appropriate staff while ensuring timely follow-up.
Provide accurate information and resolve routine questions whenever possible.
Schedule appointments and coordinate communications.
Maintain a friendly, calm, and solution-oriented attitude, even during busy periods.

Office & Administrative Support

Prepare, organize, scan, file, and maintain office documents and tenant records.
Enter and update information accurately in company databases and property management software.
Process incoming and outgoing mail and deliveries.
Support the property management team with administrative projects and daily office operations.
Maintain an organized and efficient office environment.

Qualifications

Previous receptionist, customer service, call center, or administrative experience preferred.
Outstanding verbal and written communication skills are required.
Strong telephone etiquette and professional email writing skills.
Excellent customer service and interpersonal skills.
Ability to multitask, prioritize, and remain organized in a fast-paced environment.
Proficiency with Microsoft Office (Word, Excel, Outlook) and Apple Products.
Strong attention to detail and ability to maintain confidentiality.
Positive attitude, dependable work ethic, and willingness to work as part of a team.

What We Offer

Starting pay of $18.00 per hour
Consistent part-time schedule of approximately 12 hours per week.
