We are seeking a motivated, organized, and professional Operations Coordinator to support multiple growing businesses across several industries.
This role keeps daily operations running smoothly across multiple growing businesses—coordinating schedules, documenting service activity, and supporting projects with speed and accuracy. You’ll deliver standout customer experiences, assist teams across HVAC, fuel, ecommerce, and construction, and help launch new services as we expand. You’ll manage office workflows, prepare quotes and communications, resolve issues, streamline processes, and act as a communication hub. As we grow, you’ll take on new tools, responsibilities, and opportunities.

Key Responsibilities:
Keep Operations Moving
Own day‑to‑day workflows across our multiple businesses and make sure nothing slips through the cracks.
Build simple, scalable processes that help the team move faster as we grow.
Coordinate and organize schedules, document service calls, track incoming leads, and provide internal communication with speed, accuracy and clarity.
Assist with project tracking, task follow‑ups, and deadline management to keep teams aligned.
Generate new business opportunities through cold calling, networking, email marketing, and customer follow-up.
Deliver a Standout Customer Experience
Provide exceptional customer service by answering incoming phone calls and assisting customers with questions and service requests.
Be a friendly, reliable point of contact for customers, partners, and vendors.
Handle inbound calls, emails, and service inquiries with professionalism and a problem‑solver mindset.
Strengthen long‑term relationships through consistent, high‑quality support.
Support Teams Across Industries
Learn the operations of each business and jump in where needed — HVAC, fuel, ecommerce, construction and more.
Assist with estimate tracking, vendor coordination, and service logistics.
Help launch new services and support existing Marketing efforts.
Prepare proposals, estimates, presentations, and other business development materials
Administrative & Office Coordination
Manage calendars, appointments, and service bookings across different business units.
Prepare quotes, invoices, service confirmations, and follow‑up communications.
Work closely with management to relay updates, identify operational needs, and support strategic initiatives.
Coordinate between field teams, office staff, and external partners to ensure seamless service delivery.
Drive Organization & Efficiency
Maintain clean, accurate records, reports, and documentation.
Prepare quotes, invoices, confirmations, and follow‑ups that keep customers informed and confident.
Troubleshoot scheduling conflicts, customer issues, and operational bottlenecks.
Support new business launches, service expansions, and process development
Be the Communication Hub
Keep managers, field teams, and office staff aligned with timely updates and clear communication.
Coordinate between departments to ensure smooth service delivery.
Draft internal notes, process guides, and quick reference materials.
Manage leads, customer information, and sales activities using our CRM system
Grow With the Company
Take on new responsibilities as we expand into new industries and services.
Assist with additional projects, departments, and future business ventures as assigned to support the continued growth and success of the organization.
Learn new tools, systems, and workflows to support evolving business needs.
Contribute ideas that help shape the future of our operations.
Qualifications
Construction industry knowledge or experience is required.
Excellent communication and interpersonal skills.
Strong organizational, multitasking, and problem-solving abilities.
Comfortable making outbound sales calls and following up with customers.
Professional appearance and positive attitude.
Self-motivated with the ability to work independently and as part of a team.
Valid driver's license and willingness to travel locally when needed.
Experience in customer service, sales, or office administration.
Experience using CRM software.
Knowledge of the HVAC, heating oil, home improvement, or commercial service industries is a strong advantage.
Experience preparing proposals, estimates, or sales documents is a plus.
Proficiency with Microsoft Word, Excel, Outlook, Sheets and general computer software.
