Job Summary

We are seeking an energetic and detail-oriented Bilingual Office Administrator to join our team! In this vital role, you will manage daily office operations, coordinate administrative tasks, and support our team with exceptional organizational skills. Your proactive approach will ensure smooth office functions, effective communication, and a welcoming environment for visitors and staff alike. This paid position offers an exciting opportunity to be a key part of our growing company.

Duties

Manage front desk responsibilities including greeting visitors, answering phone systems, and directing calls with professional phone etiquette
Oversee office management tasks such as filing, data entry, maintaining spreadsheets, and organizing documents for easy access
Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
Assist with HR functions such as posting ads, screening, and onboarding
Maintain accurate employee payroll records, including new hires, termination, promotions, pay-rate changes, deductions, and benefits
Process weekly payroll accurately on time
Provide excellent customer service by responding promptly to client inquiries and supporting client communication efforts
Maintain office supplies inventory, process incoming mail, and ensure the office environment remains organized and efficient
Willing to train the right person

Skills

Experience with QuickBooks or bookkeeping software is preferred for financial recordkeeping tasks, including invoicing, and expense tracking
Bilingual abilities are highly desirableto facilitate communication with diverse clients and team members
Proven experience with office management, clerical duties, and administrative support in a fast-paced environment
Proven experience with computer literacy including in Microsoft Office Suite (Word, Excel), spreadsheets, and data entry tools
Excellent organizational skills with the ability to multitask effectively while managing time efficiently
Exceptional customer service skills combined with professional phone communication and phone etiquette
Familiarity with front desk operations, or personal assistant experience is a plus

Schedule

Monday - Friday 7:00am-3:30pm **No Weekends**
