Administrative Coordinator / Office Administrator

Job Type: Full-time
Schedule: Monday–Friday, 8-hour shift (Overtime as needed)
Work Location: In Person

Position Summary

We are seeking a highly organized, detail-oriented Administrative Coordinator to support the daily operations of our office. This role is responsible for providing administrative support, coordinating office activities, maintaining records, assisting with accounting functions, and ensuring the office runs efficiently. The ideal candidate is proactive, professional, and able to manage multiple priorities in a fast-paced environment.

Key ResponsibilitiesOffice Administration

Manage the reception area and maintain a professional first impression for visitors and callers.
Answer and direct incoming phone calls for multiple departments.
Handle inquiries, screen requests, and provide accurate information.
Organize and coordinate meetings, appointments, travel arrangements, conferences, and departmental activities.
Prepare agendas, meeting materials, and other administrative documents as needed.
Coordinate workflow and assist with daily office operations.

Mail & Document Management

Receive, sort, distribute, and prepare incoming and outgoing mail and packages.
Maintain filing systems and retrieve records when requested.
Compile and maintain office records and documentation.
Photocopy, scan, fax, and distribute documents.
Draft, proofread, and format correspondence, reports, memos, charts, spreadsheets, presentations, and other business documents, ensuring accuracy and professionalism.

Office Operations

Monitor and maintain office supply inventory; order supplies as needed.
Assist with purchasing office furniture, equipment, and supplies in accordance with company policies and budgets.
Coordinate maintenance and servicing of office equipment, including copiers, fax machines, and other office technology.
Oversee day-to-day office and facility operations to ensure a safe, organized, and efficient work environment.

Accounting & Financial Support

Assist with basic accounting functions, including invoice verification and bank deposits.
Manage petty cash.
Support Accounts Payable by preparing and submitting check requests and related documentation.
Process travel reimbursements and reconcile corporate credit card expenses.
Assist with billing and other administrative financial tasks.

Data & Records Management

Maintain and update company databases and records.
Upload and organize photos of inbound and outbound products.
Respond to routine requests for information by phone, email, or written correspondence.

Projects & Administrative Support

Assist company officers with special projects and ongoing initiatives.
Coordinate presentations, direct mail campaigns, and company communications.
Prepare reports, correspondence, route documentation, and other project materials.
Provide administrative support for additional duties as assigned.

Qualifications

Excellent organizational and time management skills.
Strong verbal and written communication skills.
Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
Ability to prioritize tasks and manage multiple responsibilities.
Strong attention to detail and accuracy.
Professional demeanor with excellent customer service skills.
Experience with office administration and basic accounting functions preferred.
