Events and Experience Coordinator

KEY PURPOSE
The Site Events & Experience Coordinator plays a key role in enhancing the workplace experience for employees, visitors, and business partners across the Houston campus. This position supports Workplace Management through the planning and execution of onsite events, employee engagement initiatives, visitor experiences, and site communications. The coordinator serves as a central point of coordination among Workplace Services, Events, Communications, Food Services, Resource Groups (RGs), Culture Ambassadors, and other site stakeholders to ensure a welcoming, engaging, and well-organized workplace environment.
This role requires exceptional organizational skills, strong customer service capabilities, creativity, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Support the successful execution of large-scale site events including We Are HPE Day, Team Member Appreciation Day, senior leadership visits and meeting, employee engagement activities, and other campus events.

Coordinate weekly workplace experience programming and engagement activities.

Assist with gathering and coordinating content for Houston newsletters, site updates, and employee communications.

Serve as a welcoming point of contact for visitors, guests, and VIPs.

Monitor workplace communication channels and respond to inquiries in a timely and professional manner.

Partner with Culture Ambassadors to integrate Force for Good initiatives into workplace experiences and events.

Support site tours, executive visits, customer visits, and community engagement activities.

Contribute ideas that improve employee engagement, workplace satisfaction, and overall experience outcomes.

Demonstrate excellent organizational skills, attention to detail, and customer focus.

Maintain a professional appearance, conduct, and presence at all times.

Key Accountabilities

Coordinate and support onsite events, meetings, and engagement activities from planning through execution.

Assist Workplace Management during peak event periods and high-visibility campus engagements.
-
Partner with Event Services, Communications, and Resource Groups to ensure logistical readiness and successful event delivery.

Support conference center operations including room readiness, visitor logistics, digital signage, and guest experience coordination.

Assist with planning and execution of executive visits, customer engagements, and site tours.
Site Communications & Engagement
-
Gather, organize, and submit content for Houston newsletters, workplace announcements, and internal communications.

Support development and distribution of weekly site updates and experience-related communications.

Coordinate employee engagement activities that promote wellbeing, collaboration, and community.

Partner with Communications teams to ensure messaging is timely, accurate, and aligned across stakeholders.

Generate creative ideas and programming concepts that increase employee participation and engagement.
Visitor Experience

Serve as a primary point of contact for visitors and guests arriving at the Houston campus.

Provide guidance on site amenities, wayfinding, transportation, dining options, and local resources.

Coordinate visitor support activities to deliver a seamless, professional, and welcoming experience.

Support VIP visits and executive engagements by ensuring a high-touch hospitality experience.
Workplace Support & Continuous Improvement

Monitor workplace communication channels and respond to facilities and experience-related inquiries.

Assist in identifying workplace experience trends, concerns, and opportunities for improvement.

Leverage survey feedback, event evaluations, Food Services insights, and workplace help desk data to drive enhancements.

Conduct routine site walkthroughs to identify experience opportunities and service improvements.

Support Workplace Management in implementing initiatives that improve employee satisfaction, engagement, and workplace effectiveness.
Ideal Candidate Experience
- High school or college degree
-
3–5 years of customer service experience in dealing with high-touch clients

Proven track record of providing stellar support to customers

Proven ability to function successfully within a strong team environment

Strong computer proficiency skills (Word, Excel, PowerPoint)

Demonstrates great interpersonal skills

Can effectively communicate and relate to all levels within and outside the organization

Physical Demands & Work Environment
- Sitting at a computer for 50% of the time

Walking/inspecting the site 50% of the time

Must be able to lift a minimum of 10 pounds
