Administrative Service Assistant (ONSITE)
Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for an Administrative Services Assistant with experience in providing administrative support for programs, projects and overall office functions for their Spokane, Washington location. This person provides a wide variety of professional and confidential administrative/clerical tasks as well as data entry and tracking.

This position is a one-year renewable contract that includes employee benefits!
Pay Rate: $31.00 - $33.25/hr. DOE.
Location: Spokane, WA
FULLY ONSITE!

Key Responsibilities for Administrative Services Assistant:

Provide confidential administrative and clerical support to managers and staff.
Greet visitors, answer and direct phone calls, respond to routine inquiries, and maintain positive internal and external communications.
Prepare, proofread, edit, and distribute correspondence, reports, presentations, spreadsheets, and other business documents using Microsoft Office and Adobe Acrobat.
Coordinate meetings by scheduling calendars, reserving conference rooms, preparing agendas and materials, recording meeting minutes, and tracking action items to completion.
Manage executive calendars, prioritize appointments, coordinate interviews, and resolve scheduling conflicts.
Maintain organizational records, document repositories, SharePoint sites, tracking logs, and file systems to ensure accuracy and compliance.
Support onboarding, personnel documentation, training coordination, performance review tracking, employee recognition, and other HR-related administrative functions.
Coordinate domestic and international travel arrangements, itineraries, authorizations, expense documentation, and reimbursements.
Assist with timekeeping, leave tracking, payroll support, and attendance reporting.
Serve as the primary administrative liaison with HR, IT, Facilities, Security, Procurement, and other shared services to coordinate office operations, equipment, supplies, and employee support requests.
Monitor compliance with organizational policies, maintain process documentation, and recommend improvements to administrative procedures and workflows.
Assist with planning and coordinating meetings, employee engagement activities, recognition events, and other organizational initiatives

Requirements for Administrative Services Assistant:

High school diploma or equivalent is required.
6 years of demonstrated administrative/clerical experience is required.
4+ years’ experience with MS Office: Word, PowerPoint, Excel, and Outlook (Microsoft Office 2010 proficiency required).
Intermediate to advanced experience with SharePoint sufficient to: support, manage, edit and maintain site.
