Full Job Description

The Clinic Operations Manager is responsible for planning, directing, and overseeing the daily operations of Spokane Digestive's outpatient clinics to ensure exceptional patient care, operational efficiency, regulatory compliance, and employee engagement. This position provides leadership to clinic staff, drives continuous process improvement, monitors operational performance, and partners with physicians and executive leadership to achieve organizational goals.

Minimum qualifications:

Required

Bachelor's degree in Healthcare Administration, Business Administration, Nursing, or related field; equivalent experience may be considered.
5+ years of progressively responsible healthcare operations experience.
3+ years of supervisory or management experience.

Project management experience
Gastroenterology or ambulatory specialty practice experience

Knowledge, Skills, and Abilities Required:

Ability to communicate effectively, both orally and in writing.
Ability to use independent judgment.
Knowledge of continuous quality improvement management principles and practices.
Skill in examining and re-engineering operations and procedures, formulating policy recommendations, developing, and implementing new strategies and procedures.
Knowledge of customer service standards and procedures.

Knowledge of cost control procedures and practices.
Awareness of applicable standards, policies, and procedures within the health care industry.

Knowledge of computer software applications relevant to office management (Microsoft Office, Microsoft Excel (advanced reporting), HRIS Systems, Data Analytics, and EHR experience required.)

Duties and Responsibilities:

Coordinates and monitors support functions such as referrals, medical records, clinic and procedure scheduling, fee collection, and productivity reporting to avoid duplication and fragmentation of effort.
Oversees all aspects of daily clinic operations, including staffing, scheduling, patient flow, resource allocation, and facility readiness to ensure safe, efficient, and high-quality patient care.
Develops, monitors and manages departmental operating expenses while identifying opportunities for cost containment and operational efficiencies.
Leads continuous quality improvement initiatives by analyzing operational performance, patient feedback, and workflow processes to enhance efficiency, patient satisfaction, and quality of care.
Collaborates with executive leadership and physicians to develop and implement strategic initiatives that support organizational goals, operational excellence, and practice growth.
Provides leadership for clinic staff through recruitment, onboarding, coaching, performance management, employee development, succession planning, and corrective action to foster a high-performing and engaged workforce. Directs and coordinates activities for clinic staff development and education.
Implements policies and procedures to provide guidance and uniformity to clinic operations.
Develops protocols to ensure proper and economical use of office and clinical equipment, supplies, and facilities.
Follows and ensures compliance with all guidelines, policies, and standards for the provision of services as defined by the practice.
Ensures compliance with all applicable federal, state, and local regulations, accreditation standards, and organizational policies, including HIPAA, OSHA, and workplace safety requirements.
Oversees, coordinates, maintains, and/or processes timecards, time off requests, travel reimbursements, and purchasing for clinic staff.
Supports the company’s provider credentialing staff and efforts.
Oversees and provides administrative support such as preparing scheduled and special reports, and correspondence.
Analyzes operational and financial metrics, identifies trends, develops corrective action plans, and presents recommendations to executive leadership.
Collaborates with fellow leadership team members to determine department specific needs regarding interdepartmental processes and/or systems such as building safety and security, maintenance, and/or patient care coordination.
Performs miscellaneous job-related duties as assigned.

Spokane Digestive enforces a safety culture whereby all employees have the responsibility for continuously developing and maintaining a safe working environment. Each employee is responsible for completing all training requirements, participating in emergency response tasks as requested, and serving on safety committees and teams as requested. In addition, employees must accept the responsibility for maintaining the safety of themselves and others by adhering to all written and verbal instructions, promptly reporting and/or correcting all hazards or unsafe conditions and providing feedback to supervisors and management on all safety issues.

Physical Demands:

Required to stand, sit, and be mobile one-third to two-thirds of the time. They are required to use hands to finger, handle or feel over two-thirds of the time, while reaching with hands and arms occurs one-third of the day. Climbing or balancing, stooping, kneeling, or crouching occur less than one-third of the time. Communicating by talking / hearing occurs over two-thirds of the day. The amount of time spent lifting or exerting force is about 50% for up to 10 pounds and less than one-third of the time up to 25 – 40 pounds. Rarely is there a need to lift more than 41 pounds.

Working Conditions:

Work is normally performed in a typical interior/office work environment in a clinic. Work may be demanding and chaotic at times. Exposed to patient population that will present a variety of contagious diseases, physical injuries, and emotional states of mind.
