Starting Pay: $ 19.00- $ 24.00/hr (commensurate with experience), with benefits.
Our busy aesthetic and medical clinic is seeking to add a full-time Receptionist/ Administrative Assistant to our team. We are looking for someone who wants to be a part of a team dedicated to serving grateful and fantastic patients.
JOB DESCRIPTION
- This is a full-time position working from Monday–Friday, 7:45 AM–4:45 PM with a 1-hour lunch. Occasional Saturday availability required. It is expected that your time will split evenly between working Reception/Admin tasks and supporting the Premier team.

As Receptionist:
- You have a polished and professional presentation. We are looking for the face of the clinic — you will be the first person our patients meet whether on the phone or in person. You present well in your physical appearance and possess good personal hygiene. You greet patients graciously and interact well with staff members. Your high degree of professionalism will help set the tone for the clinic.
- You excel in customer service and are passionate about being personable with each patient, treating them with the highest regard, eager to exceed their expectations.
- You are compassionate and empathetic as you provide comforting assurance to patents when needed.
- You are reliable and honest. This position requires a high degree of responsibility as the Receptionist/ Administrative Assistant is the point person for handling the private medical records of our patients and receiving patient payments; thus you will need to consent to and pass a background check before hire.
- You are the ultimate Secret Keeper regarding patient privacy and confidentiality. Discretion is the name of the game. As a clinical receptionist you are required to become HIPAA trained and abide by all HIPAA regulations at all times.
- You make safety top priority. You follow all health, safety and company policies for your benefit and the benefit of others.
- You are efficient. You answer calls, texts and emails in a timely manner with enthusiasm and a genuine desire to be of service.
- You are organized. As a scheduler, you are an important part of the clinic’s “gatekeeper”, appropriately scheduling patient appointments within established parameters. You will become adept at utilizing our practice management and electronic medical record software, DrChrono.
- You value learning at an appropriate pace. Ever the learner, you will be eager to learn more each day including new skills throughout the clinic and from your co-workers. Learning from each other and working together for continual improvement and cross training is an important part of the “Premier team.” Your goal is to always have a harmonious experience for the patient and staff, from beginning to end.
- You will be proficient with computers -- we are a nearly-paperless clinic –and adept with technology, particularly Apple products, Word, Excel, emailing, scanning and saving documents, using a fax and copy machine and multi-line phones.
- You will demonstrate creativity and innovation, within the scope of the position, as an essential part of being an administrative assistant. The superior candidate will always be learning, seeking ways to be more efficient and generate clinic-improving ideas.
- You won’t have to live behind a desk. You will assist with clinic operations from time-to-time, including rooming patients, turning over treatment rooms, managing and stocking supplies as directed.
- You can perform integrative thinking. You will be able to learn new information, integrate this into your position and be able to discuss key parts of clinical care with patients. A fun aspect of this position is that you will receive in-depth education of all services offered at the clinic, including shadowing and assisting providers including physicians. You will be able to clearly explain the basics of our services, answer questions of incoming callers, emails and texts, and document communication as necessary.
- You will participate in practice growth. You be a pivotal part of new patient outreach by managing and using the clinic's Client Relations Manager (CRM) system. You will follow up on new patient inquiries and leads using the software to manage corresponding data.
- The superior candidate will have experience with and a strong presence in social media! When you are between tasks we encourage you to get your phone out and start taking pictures of the staff, treatments and patients (with consent) and assist our Chief Marketing & Growth Officer in creating posts on behalf of the clinic on Facebook and Instagram.
- You will be comfortable with multitasking. Self-direction to complete tasks, without continuous input from other staff, is a requirement. Once trained, we expect and trust that ‘you’ve got this!’ Self-direction and self-motivation are essential. You will perform other tasks that may be periodically assigned by your supervisor.
- You will maintain strong vendor relations – getting to know and interact with those who provide services for our clinic.
Billing Support:
-You will be responsible to collect payment from patients at the time it is due. You will research and resolve credit balances, applying credits and adjustments to services as required by policy
-You are detail-oriented, confirming at the end of day that all appointments have been coded and billed for correctly and payment has been made and processed through the billing system.
-Take daily deposits to the bank, as needed.
Insurance Support:
- You will become a specialist with medical insurance processing for the Company and for patients. You will spend time daily, assisting patients in collecting and organizing clinical data and submitting for pre-authorization for service with various payors.
- In the case of denials, you will take the appropriate step to resolve the issue by providing new clinical data, requesting a peer-to-peer, a 1st or 2nd level appeal or IRO.
- After pre-authorization has been approved and service rendered, assists patients in submitting claim for service. Reviews unpaid claims weekly by calling for payment status, appealing denials and correcting and resubmitting claims when necessary.
- Reviews EOBs and claims denials and appropriately rebill the claim or assist the patient in requesting a reconsideration or reimbursement appeal.
- You will help patients understand how insurance companies process their billing claim.
Supervisory Responsibilities:
There is little or no supervisory responsibility in this position. However, a strong candidate will be considered for office management in the future.
EDUCATION, LICENSURE, & EXPERIENCE REQUIREMENTS
*Associate Degree (or equivalent education), required. Bachelor’s degree preferred.
*At least 1 year reception experience, required.
*At least 1 year in the medical field, required.
*At least 6 months Insurance Billing & Coding experience, preferred.
* Valid state driver's license and proof of insurance, required.
*Bachelor’s Degree in Business/Communications or related field, preferred.
*Two years medical billing course, preferred.
Superior candidates may have some of the following:
*At least 1 year of successful sales experience, bonus.
*Licensed Aesthetician in Washington State, bonus.
*Medical Assistant experience, bonus.
*Surgical Technician experience, bonus.
Proficiency with Mac/Apple systems, Microsoft Office, multi-line phones, scanning, fax, and email , required.
SOFT SKILLS
*Must appear and interact in a professional manner as part of a medical practice.
*Must be highly organized and self-directed
*Must have excellent customer service skills

Supplemental Pay:
- Commission pay, based on Company productivity
Work Location: In person, indoors. Attendance is required for this position. Lack of attendance, will result in loss of employment.
Background Check: Must be able to pass a background check (authorized by RCW 43.43.830-840). In order to comply with provisions set forth in Sections 1128 and 1156 of the Social Security Act, all new will be checked against the LIST OF EXCLUDED INDIVIDUALS provided by the Department of Health & Human Services, Office of the Inspector General (OIG). Employees must not be included on this list.
Drug Test: Eligible employees must be free of alcohol and drug abuse and able to pass a post-offer, pre-employment drug test which includes marijuana.
