Full Job Description

Position Summary

The Purchasing Agent / Warehouse Manager is responsible for sourcing, purchasing, and managing inventory for construction materials, equipment parts, and shop supplies. This role ensures the company maintains the right materials at the right time while controlling costs and keeping the warehouse organized and efficient. The position works closely with field teams, shop personnel, and vendors to support ongoing civil construction operations. This role also supports the development and ongoing use of Fleetio as the company’s fleet and inventory management system.---

Key Responsibilities

Purchasing & Vendor Management

· Source and procure materials, parts, tools, and supplies for construction projects and fleet maintenance

· Develop and maintain relationships with vendors to ensure competitive pricing and reliable delivery

· Obtain quotes, negotiate pricing, and issue purchase orders

· Track orders and resolve delays, shortages, or discrepancies

· Evaluate vendor performance and identify cost-saving opportunities

Inventory & Warehouse Management

· Oversee daily warehouse operations, including receiving, storage, and distribution of materials

· Maintain accurate inventory levels of construction materials, parts, and consumables

· Implement and manage inventory tracking systems and cycle counts

· Organize warehouse layout for efficiency, accessibility, and safety

· Coordinate staging and delivery of materials to job sites and the shop

Coordination & Support

· Work closely with project managers, superintendents, and shop personnel to forecast material and parts needs

· Ensure timely availability of critical items to avoid project delays or equipment downtime

· Support preventative maintenance programs by ensuring parts availability

· Assist with equipment and asset tracking as needed

Administrative & Compliance

· Maintain accurate purchasing and inventory records

· Review and reconcile invoices, packing slips, and purchase orders

· Ensure compliance with company policies and safety standards

· Monitor and control purchasing budgets where applicable

Qualifications

· High school diploma or equivalent required; associate’s or bachelor’s degree preferred

· 3+ years of experience in purchasing, inventory control, or warehouse management (construction or heavy equipment industry preferred)

· Strong knowledge of construction materials, tools, and heavy equipment parts

· Experience with inventory management or ERP systems

· Proficient in Microsoft Office (especially Excel)

· Strong organizational and time management skills

· Ability to multitask and prioritize in a fast-paced environment

Preferred Qualifications

· Experience in civil construction or heavy highway industry

· Familiarity with fleet maintenance parts and shop operations

· Experience negotiating pricing and managing vendor contracts

· Knowledge of logistics, shipping, and delivery coordination

Work Environment

· Combination of office, warehouse, and outdoor yard environment

· Frequent interaction with vendors, drivers, mechanics, and field personnel

· May require occasional lifting of materials and extended hours during peak operations
