Position Overview

We’re looking for an Administrative Billing Specialist whose primary responsibility will be processing invoices accurately and efficiently while providing administrative support to our operations team.

Although you’ll answer phones and assist customers throughout the day, the majority of your time will be dedicated to reviewing completed work orders, processing invoices, and ensuring billing is completed accurately and on time.

Accuracy, organization, and the ability to adapt to changing priorities are essential for success in this role.

Key Responsibilities

Billing & Invoicing (Primary Focus)

· Process daily service tickets into invoices

· Review technician notes for accuracy and completeness

· Ensure all billable labor, materials, and deficiencies are invoiced correctly

· Meet daily invoicing deadlines

· Work within ServiceTrade and QuickBooks

· Maintain accurate customer billing records

Administrative Support

· Answer incoming calls and direct them appropriately

· Assist customers with general questions and requests

· Support scheduling and office coordination as needed

· Maintain organized digital records and documentation

· Communicate effectively with technicians, customers, and management

Qualifications

· 2+ years of administrative, billing, or office experience preferred (not required)

· Strong attention to detail

· Excellent organizational and time management skills

· Ability to work efficiently in a high-volume, deadline-driven environment

· Comfortable adapting to changing priorities

· Professional communication and phone skills

· Experience with QuickBooks or similar accounting software preferred

· Proficient in Microsoft Outlook and Excel

· Positive attitude and willingness to learn
