Job Summary:
The Program Coordinator will help manage daily operations of the Ambassadors for Children (AFC) Boutique and the Wish I May (WIM) birthday assistance program. The Program Coordinator must be able to anticipate program needs, discern work priorities, manage program budgets, meet deadlines with little supervision, and be willing to work evenings and weekends as needed. For this individual to be successful, they must be highly organized & detail oriented, a natural problem solver, an exceptional multitasker, and have excellent communication & interpersonal skills.
Key Objectives for success:
Program Operations Support

Support day-to-day operations of the AFC boutique and WIM birthday assistance programs, ensuring they run efficiently and within budget, while meeting organizational priorities and intended outcomes.
Volunteer Training & Coordination

Collaborate with CCO’s Volunteer Resource Team to develop/implement training for program volunteer needs and to ensure organizational standards of excellence for the volunteer experience are upheld within AFC & WIM programs.
Inventory Management

Complete regular inventory checks to ensure accurate counts of product on hand and submit reports to program leader and accounting department.
Responsibilities and Duties:
Manage AFC Clothing Boutique
Maintain a setting that provides uplifting shopping experiences for all those who access the boutique and achieves desired program outcomes. This will require the space to be well-organized, clean, and adequately stocked each day. Duties include but are not limited to:

Connect with boutique guests to schedule shopping appointments.

Have weekly availability for boutique walk-in appointments.

Create and update weekly volunteer task lists.

Collaborate with regular volunteers to complete weekly inventory checks, then compiling that data into formal inventory reports monthly.

Operating within a monthly budget, purchase clothing to ensure that each clothing category and size are stocked sufficiently. This will require forecasting and planning well in advance so that we are able to leverage purchasing power.

Manage storage space in the warehouse, ensuring backstock and off-season items are well organized, and contained in the designated bay locations for AFC/WIM.

Serve as first contact when in-kind donations come in, deciding where those items go and how we process the donation.
Manage WIM Birthday Assistance Program
Ensure uplifting experiences for those who utilize the WIM service and provide meaningful, well-directed service opportunities to volunteers. Duties include but are not limited to:

Maintain Wish I May program space, ensuring it is clean, well-organized, and stocked.

Complete data entry in Salesforce and report monthly on bags distributed.

Update spreadsheet when items are moved from the Christmas inventory to shopping room.
Volunteer Training & Coordination
Ensure that volunteers are well trained, equipped, and scheduled to support program operations. Duties include but are not limited to:

Collaborate with Volunteer Engagement Team to develop standard volunteer training plan for AFC and WIM. Update and maintain written volunteer training materials as necessary.

Assess individual abilities and arrange for new volunteers to work with staff or long-time volunteers multiple times before scheduling them to serve on their own.

Maintain volunteer schedules to ensure total coverage for boutique operating hours and adequate coverage to support current birthday bag fulfillment rate.

Support group volunteer activities as necessary and collaborate with the Volunteer Engagement Team to schedule groups when large projects are ready to complete.
Event Management
Work with staff and volunteers to ensure the success of major events, including holiday distribution events, volunteer appreciation events, some fundraising events, and offer assistance for other CCO-sponsored events.

Work Hours:
CCO offers flexible scheduling options for staff, allowing them to choose between a typical Monday through Friday schedule with five eight-hour days or a modified schedule with four nine-hour days and a half-day on Fridays. Occasionally, program needs may require different schedules, including evening or weekend hours. Supervisors will regularly discuss schedules to ensure coverage of program needs, and employees must always obtain prior approval from their supervisor to change their schedule.

Education, Experience and Qualifications:

Experience in Human Services, Communication, or Public Administration fields are preferred.

Experience working with volunteers is preferred.

Applicants should have exceptional multi-tasking skills and be highly organized.

High proficiency using computers, including Windows operating systems and Microsoft Office suite.

Must be able to lift product up to 50 lbs. by hand.
