Job Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative functions, maintaining efficient communication channels, and supporting overall office productivity. The ideal candidate will be proactive, detail-oriented, and possess excellent multitasking skills. As an Office Manager, you will serve as the backbone of our administrative team, fostering a professional and welcoming atmosphere for staff, clients, and visitors alike.

Duties

Oversee office management tasks including supply procurement, equipment maintenance, and facility upkeep to ensure a well-functioning workspace.
Manage multi-line phone systems, direct calls efficiently, and handle customer service inquiries with professionalism and courtesy.
Coordinate calendar management, schedule appointments, meetings, and conference rooms to optimize team productivity.
Maintain accurate data entry records using spreadsheets and productivity software such as Google Workspace.
Managing staff, vendor, and client communication, and ensuring etiquette standards are upheld.
Perform clerical duties such as filing, proofreading documents, word processing, and managing correspondence to support daily operations.
Utilize QuickBooks for basic bookkeeping tasks including invoicing and expense tracking while supporting office bookkeeping needs.
Assist with personal assistant tasks when needed, demonstrating strong organizational skills and time management abilities.

Experience

Proven experience in office management or administrative roles with a minimum of several years of related experience.
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, CRM, Wix, and productivity software.
Strong computer literacy with experience in data entry, filing systems, and technical proficiency in office equipment.
Experience working in customer service environments such as education or service based industries is highly desirable.
Excellent organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail.
