Job Summary
We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth and efficient operation of our office environment, providing exceptional administrative support, managing daily clerical tasks, and fostering a welcoming atmosphere for staff and visitors alike. The ideal candidate is proactive, detail-oriented, and possesses excellent communication skills, with the ability to juggle multiple responsibilities while maintaining a positive attitude. Your expertise in office management and customer service will help us deliver outstanding service and operational excellence every day.

Duties

Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using tools like Microsoft Office, Google Workspace and JobTread.
Oversee calendar management for appointments, meetings, and events, ensuring all schedules are up-to-date and well-coordinated.
Provide exceptional customer support by responding promptly to inquiries via phone or email, offering assistance or directing to the appropriate team member.
Handle clerical tasks such as proofreading documents, managing correspondence, processing invoices, and performing basic bookkeeping duties.
Support office management activities including supply inventory control, maintaining cleanliness, and ensuring a professional work environment.

Requirements

Proven experience in office administration or clerical roles with strong organizational skills.
Proficiency in JobTread, Google Workspace applications, and computer literacy.
Familiarity with QuickBooks for bookkeeping and data entry tasks.
Excellent phone etiquette skills with experience managing multi-line phone systems.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Prior experience as a receptionist—construction—preferred for understanding front desk operations in construction settings.
Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment without being micromanaged.
Personal assistant experience or office experience involving calendar management.
Must be comfortable working alone in beautiful, quiet, rural office.
