TITLE: Operations Manager
REPORTS TO: Chief Executive Officer
EXEMPT/NON-EXEMPT: Exempt
PAY LEVEL: 8 ($65,000 to $80,000)
SUMMARY OF POSITION
The Operations Manager is responsible for administrative, bookkeeping, and overall office management for the Springfield Daily Citizen, including performing various confidential duties. The Operations Manager works closely with the CEO, Chief Revenue Officer and Executive Editor on addressing day-to-day workplace needs, as well as the development and execution of strategy.
The job is ideal for someone who seeks to play a leadership role in a fast-paced, team environment. The successful candidate will have strong bookkeeping skills (preference for QuickBooks Online experience) and ability to quickly learn various software platforms, including Google Workspace. Organizational skills, attention to detail and ability to multitask are essential.

EDUCATION/EXPERIENCE
Associate or four-year degree in business, finance, accounting, marketing, or related field, or equivalent of education and experience. Minimum of 8 years full-time employment in responsible positions involving administration, operations and office management, with preference for candidates with bookkeeping, database management, customer service or related experience. Salary commensurate with experience.
ABILITIES/SKILLS
1) Strong bookkeeping and financial management skills, with proficiency in QuickBooks Online preferred.
2) Strong technical skills, with proficiency in Google Workspace and Microsoft Office software preferred. Ability to quickly learn new software is required.
3) Strong data entry skills.
4) Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks.
5) Strong organizational skills and the ability to multitask to complete a wide variety of tasks.
6) Attention to detail to ensure tasks are completed thoroughly and correctly, and ability to prioritize deadlines.
7) Good interpersonal skills and ability to work in a team environment, coordinating the completion of tasks with others.
8) Ability to adapt to a varied workload and varied work days.
9) Adhere to Daily Citizen standards of ethical conduct.
GENERAL DESCRIPTION OF DUTIES
- Maintains all accounting and bookkeeping functions, including payroll. Ensures proper procedures are followed, bills are paid and records are maintained in a timely fashion. Monitors bank and other account balances; with approval of CEO and/or Board Treasurer, directs account transfers, including transfers from investment accounts.
- With input from other managers, produces monthly and other financial reports, including drafting quarterly reserve projections, for the CEO and the Board of Directors. Maintains confidentiality. With direction from the CEO, drafts annual budgets and updates for review by the CEO and Board.
- Serves as secretary to the Daily Citizen Board of Directors. Works with the CEO and Board Chairman to draft the agenda for board meetings, and coordinates reports for the meeting.
- Provides support to the revenue team, including contract management and invoicing, as well as coordinating fulfillment and production of sponsored content posts, partner emails and public notices.
- Works with the CEO, Chief Revenue Officer and Executive Editor to conceive, plan and manage events, whether for revenue, community engagement or subscriber rewards.
- Assists the CEO with all aspects of annual and long-term fundraising. Tracks pledges and donations, maintains donor database, manages donor communications, creates reports and updates website listing of donors, as well as other public recognition efforts.
- Manages Google Workspace, Dropbox and other shared software. Works with outside vendors on HR, IT and other services.
- Performs other duties as assigned.
REQUIREMENTS AND WORKING CONDITIONS
■ Platforms used: QuickBooks Online, Stripe, Microsoft Office Suite, Google Workspace, Adobe Creative Suite. Training will be provided where necessary.
■ Extensive computer use; good keyboarding skills required.
■ Extensive phone use; speaking and hearing required to give and receive necessary information in person and on the phone.
■ Seeing/depth perception required for computer, reading, handling paperwork, and driving.
■ Some driving is required, primarily within the area. Employee must have a valid driver’s license, an operating vehicle, an acceptable driving record, and maintain state-required vehicle insurance.
■ Some after-hours and weekend work is required.

■ Minimal lifting, carrying, pushing, or pulling.
