Forest Park Townhomes is seeking a reliable and experienced Assistant Property Manager to oversee the leasing, and resident satisfaction, at our gated luxury community. This role ensures the smooth functioning of property operations, timely completion of unit turns, and effective coordination with maintenance staff, and high levels of resident satisfaction.
Position Overview: The Assistant Property Manager is responsible for leasing, tenant relations, coordinating with the Grounds & Maintenance Technicians to maintain the appearance, safety, and functionality of the property. The Assistant Property Manager is responsible for promptly reporting any grounds, or maintenance, safety, and property condition issues to the Property Manager for evaluation, prioritization, and coordination of repairs or corrective action. The ideal candidate is highly organized, proactive, and able to handle multiple priorities while maintaining a positive, professional environment for residents and staff.

Reporting Structure

- Reporting Relationships: Grounds & Maintenance Technicians
Key Responsibilities:
Leasing & Tenant Management
- Manage leasing, applications, renewals, and occupancy goals
- Ensure Fair Housing compliance
- Monitor rent and fee collection and follow up on delinquencies
- Conduct move-in and move-out inspections
- Assist with resident retention efforts and maintain positive tenant relationships while enforcing community policies
- Respond promptly to tenant inquiries and complaints, resolving issues efficiently
- Identify, document and report potential lease violations to the Property Manager for approval and resolution in accordance with the lease and company policies.
- Promptly report resident concerns, complaints, disputes, or other escalated situations to the Property Manager for additional support, guidance, and resolution, ensuring timely communication and appropriate follow-up.
Maintenance and Grounds Coordination
- Prioritize unit turns by coordinating with maintenance staff on when to schedule cleaners
- Ensure there is always a show unit in every floor model
- Coordinate with Service Tech, and Grounds Technicians to ensure timely and quality completion of repairs, unit preparations, and property appearance
- Assist in ensuring Grounds and Maintenance Technicians have necessary supplies to complete unit turns, maintenance and grounds supplies when necessary.
- Inspect units for quality control and report any issues to the Property Manager
- Maintain records of completed unit turns, work orders, and inspections
Staff Supervision & Communication
- Maintain open communication with staff regarding priorities, deadlines, and performance expectations
- Coordinate with the Property Manager on providing guidance, training, and feedback to staff as needed
Financial & Operational Oversight
- Submit operational, leasing, and financial reports to the Property Manager as requested
- Monitor budgeted expenses and approve minor purchases within established limits
- Monitor office supplies and order as needed
- Ensure accurate tracking of rent, fees, Tenant GL, and other property income
- Collaborate with Property Manager on vendor contracts, payroll, and other operational matters as needed
Marketing & Community Engagement
- Assist with property marketing, advertising, and promotion of available units
- Implement resident engagement initiatives to enhance community satisfaction
- Maintain positive public relations and professional image of the property
General Support
- Ensure all property policies, safety standards, and reporting procedures are followed
- Perform other duties as assigned by Property Manager to support the overall property operations, safety, and resident satisfaction
Qualifications
- 2 Years experience as an assistant property manager or leasing agent
- Previous experience with AppFolio property management software is preferred
- Strong organizational, communication, and leadership skills
- Ability to handle multiple priorities efficiently and problem-solve proactively
- Knowledge of Fair Housing regulations and property management best practices
- Dependable, professional, and able to work independently as well as with a team
- Comfortable working in a residential community environment
- Maintain professional appearance and standards while interacting with residents, prospects, vendors, and team members.
