Full Job Description

Job Purpose:

Grooms Office Environments is seeking a detail-oriented and organized Office & Accounting Administrator to support payroll, employee benefits, accounting, compliance, and general office administration. This role works closely with the Controller and leadership team to ensure key administrative and financial processes are completed accurately and on time. The ideal candidate takes ownership of recurring responsibilities, maintains a high level of organization, and is comfortable handling confidential information.

Duties and Responsibilities:

Administer employee onboarding, benefits enrollment, and personnel records.
Support payroll processes, timesheet review, and payroll-related documentation.
Reconcile company credit card transactions and maintain supporting accounting records.
Coordinate insurance audits, compliance documentation, and recurring administrative deadlines.
Maintain organized employee, financial, and company records.
Provide administrative support to the Controller and leadership team.
Assist with additional accounting, HR, and operational functions as the role grows.

Requirements:

Coordinate employee onboarding, benefits enrollment, benefit changes, and maintenance of employee records, ensuring all documentation is accurate, complete, and properly maintained.
Support payroll administration by collecting and reviewing timesheets, maintaining payroll records, coordinating employee status changes, and assisting with payroll documentation and processing.
Manage credit card reconciliations by collecting receipts, matching expenses to transactions, following up on missing documentation, and preparing records for accounting review.
Coordinate annual insurance audits and compliance activities, including gathering required documentation, maintaining insurance records, and tracking recurring deadlines and reporting requirements.
Maintain organized employee, accounting, and company records while ensuring confidentiality and accuracy of sensitive information.
Provide administrative support to the Controller and leadership team, including document management, report preparation, vendor coordination, office administration, and special projects.
Assist with additional accounting, HR, and operational functions such as accounts payable support, employee record administration, vendor documentation, office supply management, and other responsibilities as the role expands.
