Job description:

This job posting is for a Senior Firm Administrator in Fairfax, VA, with a strong focus on office operations, staff coordination, bookkeeping, vendor management, and executive support.

Responsibilities

Perform bookkeeping activities using QuickBooks or similar accounting software to maintain accurate financial records
Oversee schedule for management, ensuring appointments, meetings, and dates are accurately coordinated
Manage vendor relationships, including office supplies, IT services, and facility maintenance to ensure seamless operations
Coordinate event planning for firm functions, client seminars, and community outreach initiatives
Handle clerical functions, maintaining personnel files, and maintain fostering a collaborative team atmosphere
Maintain comprehensive filing systems—both digital and physical—and ensure confidentiality of sensitive information
Manage front desk operations including multi-line phone systems, greeting visitors professionally with excellent phone etiquette

Skills

Software proficiency in MS Office Suite (Excel, Word) and Intuit Quickbooks
Knowledge of Thompson Reuters products such as Practice, File Cabinet and Ultra Tax is a plus
Excellent communication skills—both verbal and written—with a focus on clear, positive interactions
Experience with event planning and vendor management to coordinate multiple projects simultaneously
Knowledge of human resources practices including onboarding, employee relations, and training development
Skilled in calendar management and schedule coordination using multi-line phone systems and digital tools
Ability to handle clerical tasks such as filing, data entry, and document preparation accurately
