Position Overview
EverLights is seeking a highly organized, technically skilled, and service-oriented IT & Business Systems Specialist to support the company's technology infrastructure, business applications, and day-to-day technical operations.
This role will serve as a key resource for employee technology support, user account administration, business application management, reporting, e-commerce systems, and technical troubleshooting. The ideal candidate is naturally curious, enjoys solving problems, and is comfortable learning and working across a variety of software platforms and technologies.
The successful candidate will work with employees across all departments to ensure they have the technology, access, systems, and information they need to perform their jobs effectively.
Key ResponsibilitiesIT Support & Technical Troubleshooting
- Provide responsive technical support to employees experiencing hardware, software, or connectivity issues.
- Troubleshoot computers, laptops, monitors, printers, headsets, keyboards, mice, and other office technology.
- Configure and prepare computers and workstations for new employees.
- Assist employees with software installation, configuration, and general technical questions.
- Troubleshoot common issues involving peripherals, Bluetooth devices, displays, printers, and other office equipment.
- Identify recurring technical issues and recommend improvements to prevent future problems.
- Coordinate with external vendors or service providers when issues require additional support.
User Account & Access Administration
- Manage employee onboarding and offboarding across company systems and applications.
- Create, configure, modify, and deactivate user accounts.
- Provision company email accounts and access to required applications.
- Manage user permissions and access levels across business systems.
- Update system access when employees change roles, departments, or responsibilities.
- Maintain accurate records of user access and permissions.
- Follow established procedures for granting, modifying, and removing database and application permissions.
- Conduct periodic reviews of user access to help ensure appropriate security and access controls.
Business Systems Administration
Support the administration and day-to-day use of the company's business applications, including:
- HubSpot
- WooCommerce
- PandaDoc
- Tableau
- Google Workspace
- Communication and collaboration platforms
- Payment and financial systems
- Other SaaS and business applications
Responsibilities will include user support, account administration, configuration, troubleshooting, data maintenance, and assisting employees with routine questions regarding company systems.
Reporting & Data Analysis
- Create, maintain, and update operational reports and dashboards in HubSpot and Tableau.
- Work with employees and department leaders to understand reporting requirements.
- Translate business questions into appropriate reports and data views.
- Identify and utilize the appropriate system properties and data sources to produce accurate reports.
- Troubleshoot basic reporting and data issues.
- Maintain existing reports and make updates as business requirements change.
- Assist departments with recurring reporting needs and ad hoc data requests.
E-Commerce & Website Systems
- Maintain the operational and technical aspects of the company's e-commerce platform.
- Create and update products, pricing, availability, and other product information as requested.
- Assist with the creation and maintenance of products across connected business systems.
- Troubleshoot issues that prevent customers from purchasing products or completing orders.
- Investigate order-processing issues and discrepancies.
- Monitor the flow of e-commerce orders and associated information between business systems.
- Identify missing, incomplete, or incorrect order data and coordinate resolution.
- Work with internal teams to ensure products and e-commerce functionality remain accurate and operational.
Systems Monitoring & Data Integrity
- Monitor business applications for errors, unexpected behavior, and data inconsistencies.
- Investigate missing or incorrect information within business systems.
- Perform first-level troubleshooting of system and integration issues.
- Identify the source of data or process problems and document findings.
- Escalate complex technical issues with clear documentation of the problem, affected records, troubleshooting performed, and recommended next steps.
- Assist with testing system updates, configuration changes, and new functionality.
- Help maintain data accuracy and consistency across business applications.
IT Equipment & Inventory Management
- Maintain an organized inventory of company technology equipment and supplies.
- Manage the company's IT equipment storage area.
- Track computers, laptops, monitors, peripherals, headsets, cables, and other technology assets.
- Prepare and distribute equipment for new employees.
- Collect, inspect, and properly store equipment returned by departing employees.
- Maintain accurate records of company technology assets.
- Identify equipment that needs replacement, repair, or replenishment.
Documentation & Knowledge Management
- Create and maintain clear documentation for common technical and business-system processes.
- Develop step-by-step instructions for frequently performed tasks.
- Document recurring technical issues and their solutions.
- Maintain internal system documentation and reference materials.
- Assist in developing resources that help employees independently resolve common technology and software questions.
- Keep documentation current as systems, processes, and procedures change.
Required Qualifications
- 1–3 years of experience in IT support, systems administration, technical support, business applications, or a related field.
- Strong computer literacy and technical troubleshooting skills.
- Demonstrated ability to learn new software and technology quickly.
- Strong problem-solving and analytical skills.
- Excellent attention to detail and organizational skills.
- Strong written and verbal communication skills.
- Ability to explain technical concepts clearly to non-technical users.

Preferred Qualifications
- Experience administering SaaS applications and user accounts.
- Experience with HubSpot or another CRM platform.
- Experience with Tableau or another business intelligence platform.
- Experience with WooCommerce or another e-commerce platform.
- Experience with Google Workspace administration.
- Familiarity with SQL and relational databases.
- Experience managing user permissions and access controls.
- Experience troubleshooting business application integrations.
- Experience working with APIs, webhooks, or automated business processes.
- Experience creating business reports and dashboards.
- Experience supporting a growing organization with multiple technology platforms.

Expertise in every system is not expected. The ability to learn unfamiliar technology, troubleshoot logically, and become proficient in new systems is more important.
