Wagner Portrait Group is looking for two Scheduling Coordinators to join our growing Scheduling Department. This administrative and customer service role is ideal for someone with experience in scheduling, office administration, event coordination, calendar management, or customer support who enjoys building relationships and keeping multiple projects moving.
For more than 50 years, Wagner Portrait Group has partnered with schools throughout the Midwest by providing exceptional school photography services. Behind every successful picture day is a Scheduling Coordinator who ensures every detail is planned, confirmed, and communicated.
This isn't simply an administrative position, it's event planning for school picture days!
It's part event planning, part customer service, and part logistics coordination. Every day you'll communicate with school principals, secretaries, and picture day coordinators to schedule photography events, confirm important details, solve scheduling challenges, and help ensure each picture day runs smoothly.
You'll become part of a team that is the primary point of contact for schools, building relationships while ensuring every photography event is organized, confirmed, and prepared for success.

What You'll Do
- Schedule school picture days and photography events.
- Coordinate calendars and manage multiple schedules simultaneously.
- Confirm event details with schools prior to picture day.
- Build relationships with school administrators, principals, secretaries, and picture day coordinators.
- Communicate professionally by phone and email with exceptional customer service.
- Ensure schools receive timely communication and follow-up throughout the scheduling process.
- Maintain accurate scheduling records and documentation.
- Collaborate with multiple departments across the company to ensure every picture day runs smoothly.
- Help resolve scheduling conflicts while providing outstanding customer service.
- Prioritize multiple deadlines while maintaining a high level of accuracy.

- A positive attitude and willingness to collaborate as part of a team.
Bonus Points If You Have
- Experience as a Scheduling Coordinator, Administrative Assistant, Office Coordinator, Office Administrator, or Executive Assistant.
- Experience with scheduling, calendar management, logistics coordination, or event planning.
- Customer service, client relations, or account support experience.
- Experience working with schools, education, or K-12 organizations.
- Administrative support or office management experience.
