Senior Executive Assistant

Senior Executive Assistant

YOUR TASKS AND RESPONSIBILITIES

Provides comprehensive administrative support to executives with confidentiality, professionalism, and sound judgment.

Manage calendars, coordinate travel arrangements, plan and support meetings, coordinate projects, process invoices and expenses, create purchase orders, and facilitate vendor payments in SAP.

Assist with team communications, including projects, events, activities, announcements, personal interactions, and points of contact.

Utilize software and systems to generate reports, timelines, distribution lists, correspondence, and presentations with a high level of proficiency using Microsoft programs.

Serve as a technology-savvy point of contact for learning and adopting new technologies that help the team communicate and execute work more efficiently and effectively.

Learn new technologies and help guide and train team members on new systems and tools.

Execute and manage special projects autonomously, including assessing spreadsheet data and statistics, identifying gaps, and creating tools to measure team feedback and opinions.

Interact professionally with internal and external stakeholders and manage calls, messages, and requests in a timely manner with minimal supervision.

Maintain files and records, coordinate office moves, maintenance, and IT support, and ensure efficient organization of business information.

Handle confidential business, personnel, and caller information with a high level of discretion.

Support other senior leaders as needed, collaborate extensively with colleagues, and shift responsibilities as required to meet business goals.

Actively pursue learning and self-development, utilize feedback to enhance performance, and help develop secretarial standards and practices for the organization.

Multi-task effectively, prioritize workload, and meet critical deadlines while managing multiple competing priorities.

WHO YOU ARE

Bayer seeks an incumbent who possesses the following:

Required Qualifications:

Associate's degree or equivalent

Executive Assistant experience.

Experience making domestic and international travel arrangements.

Strong skills using Microsoft Excel, Word, PowerPoint, Outlook, travel expense reporting, online travel booking, SharePoint administration and management, and SAP.

Experience managing multiple Outlook calendars and contacts simultaneously.

Strong project management skills with the ability to think quickly, take action where needed, work independently, and develop creative solutions for the team.

Excellent oral and written communication skills.

Superior attitude toward colleagues and the ability to maintain positive working relationships.

Ability to shift and expand responsibilities as needed to ensure business goals are met.

Demonstrated attention to detail, results orientation, productivity, initiative, foresight, and strong critical thinking skills.

Ability to manage multiple competing priorities, respond to stakeholder requests in a timely manner, and meet deadlines with minimal supervision.

Preferred Qualifications:

Experience coordinating large events and meetings.

Strong interpersonal skills and a high level of organization.

Comfort working with employees at all levels of the organization.

Early adopter mindset with the ability to learn, champion, and train others on new technologies and systems.

Employees can expect to be paid a salary between $68,800.00 - $103,200.00. Additional compensation may include a bonus or incentive compensation (if relevant). Additional benefits include health care, vision, dental, retirement, PTO, sick leave, etc. This salary range is merely an estimate and may vary based on an applicant's location, market data/ranges, an applicant's skills and prior relevant experience, certain degrees and certifications, and other relevant factors.
