Overview

We are seeking a professional and personable Front Desk Staff member to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. This role is essential in ensuring smooth daily operations by providing exceptional customer service, managing office functions, and supporting administrative tasks. The successful applicant will demonstrate proficiency in office management, computer literacy, and multitasking within a dynamic environment.

Responsibilities

Greet visitors and clients warmly, ensuring a positive first impression of the organization.
Answer multi-line phone systems promptly and professionally, utilizing proper phone etiquette.
Manage front desk operations, including scheduling appointments and maintaining calendars efficiently.
Handle clerical duties such as filing, data entry, proofreading, and document preparation using Microsoft Office applications.
Support office management tasks by organizing supplies, maintaining cleanliness, and overseeing general administrative functions.
Provide customer support by addressing inquiries accurately and directing calls or visitors to appropriate personnel.
Assist with administrative responsibilities such as typing correspondence, managing client communication, and supporting personal assistant tasks when needed.

Requirements

Proven experience in office management or front desk roles with strong clerical skills.
Excellent computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and general computer literacy.
Prior experience handling multi-line phone systems and phone reception duties with professionalism.
Bilingual abilities are highly desirable to communicate effectively with diverse clients and staff.
Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
Demonstrated customer service experience with excellent communication skills and a friendly demeanor.
Attention to detail in proofreading, filing, and maintaining accurate records.
Previous personal assistant or administrative experience is advantageous for supporting executive needs.
