Full Job Description

Overview

The Property Manager will oversee the management of a portfolio of approximately 700k square feet of industrial space, from San Francisco to San Jose, with approximately 45 tenants. The successful candidate will have a background in property operations and construction management. The Property Manager must “think like an owner” and have the ability to lead the property team.

Responsibilities

The following reflects management’s definition of essential functions for this job but does not restrict the tasks that may be assigned. Management may assign or reassign duties and responsibilities to this job at any time due to reasonable accommodation or other reasons.
Responsible for the day-to-day operations of the portfolio including lease administration, maintenance and repair, janitorial, security, engineering and life-safety.
Prepare monthly management and financial reports.
Responsible for annual budget preparation and year-end reconciliation review.
Review and approve all contracts, expenditures, and purchase orders related to the property.
Maintains excellent tenant relations by making regular rounds of the property and visiting with tenants to learn of their satisfaction or concerns with the property.
Responsible for resolving elevated tenant concerns by communicating with tenants on the phone, in writing, or in person, in order to maintain high tenant satisfaction.
Solicit bids from vendors for work performed in buildings and award contracts; maintain a working knowledge of all vendor contracts and ensure compliance with same.
Have sufficient knowledge of construction to coordinate and oversee all construction work to ensure that all alterations are performed in accordance with building standards, applicable lease provisions and local code requirements.
Be familiar with tenant leases and particularly with clauses affecting the operation of the building.
Responsible for supporting the leasing and marketing program for portfolio. Ensure positive relations with listing brokers and outside agents.
Investigate tenant delinquencies by contacting the tenant and/or the Accounting Department in order to ensure prompt payment or to learn the status of the delinquencies.
Sets operating policy consistent with the objectives of Ownership.
Property Manager shall be thoroughly familiar with the accounting requirements of the properties and shall ensure that all reporting requirements are met on a timely and accurate basis.
Property Manager shall be thoroughly familiar with the management contract and all requirements contained therein.
Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims as required.
Must be a self-starter and work independently.
Works well with others, has a great teamwork attitude.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Minimum 5 years experience in property management of a commercial real estate is required.
California Real Estate License required.
Must have very good oral and written communications skills.
Strong customer service skills required.

Computer Skills

Strong proficiency in Microsoft Word, Excel and Outlook.
Competent in accounting systems such as Yardi, Kardin and/or MRI.
Ability to use other software programs as required

Physical Requirements

Ability to lift and carry up to 25 pounds
Able to stoop, crouch, bend, kneel, climb and reach over head with arms and hands.
Ability to climb stairs frequently through the course of the work day and/or during property tours.
Able to sit or stand for extended periods of time as-needed.
Must be able to eﬀectively communicate with coworkers, clients, customers, etc. via phone, email or in-person.
Must have manual dexterity to type, ﬁle and operate common oﬃce equipment (copiers, printers, etc.)
