Junior PM Specialist / Project Coordinator

About the Role

LiveLarge is looking for a detail-oriented and organized Junior PM Specialist / Project Coordinator to support our Project Management team.

This is primarily an office-based position focused on project coordination, documentation, scheduling, communication, and administrative support. The role may also require occasional visits to project sites to check progress, take photos, document issues, and report updates back to the Project Manager.

This is a great opportunity for someone who is interested in construction project management and wants to grow into a Project Manager role.

Responsibilities

Assist the Project Manager with day-to-day project coordination and follow-up
Track project schedules, deadlines, milestones, and outstanding items
Maintain and organize project documents, records, photos, contracts, permits, and related files
Coordinate with customers, vendors, subcontractors, and internal team members
Follow up on project updates, permit status, inspections, deliveries, and scheduling
Prepare and update project tracking sheets, reports, and internal documentation
Assist with quotes, invoices, change orders, and other project-related paperwork
Schedule meetings, inspections, site visits, and contractor appointments
Communicate project updates and outstanding issues to the Project Manager
Occasionally visit project sites to:
Check basic project progress
Take photos and document site conditions
Record outstanding issues
Confirm scheduled work has been completed
Report findings to the Project Manager
Perform other project coordination and administrative tasks as needed

Qualifications

1+ year of experience in project coordination, project administration, construction coordination, operations, or a related role preferred
Strong organizational and follow-up skills
Ability to manage multiple projects and priorities at the same time
Strong written and verbal communication skills
Comfortable communicating with customers, contractors, vendors, and internal teams
Proficient with Microsoft Office, Excel, Google Workspace, and email communication
Detail-oriented and able to maintain accurate project documentation
Able to work independently and follow through on assigned tasks
Must be comfortable working primarily in an office environment
Must be able to occasionally travel to local project sites
Valid driver's license and reliable transportation preferred

Preferred Qualifications

Experience in residential construction, remodeling, ADU, prefab/modular construction, general contracting, or related industries
Previous experience as a Project Coordinator, Project Assistant, Assistant Project Manager, Construction Coordinator, or Permit Coordinator
Familiarity with construction documents, permits, inspections, vendors, and subcontractors
Experience with project management software such as Procore, Bluebeam, Buildertrend, Monday.com, Smartsheet, or MS Project
Degree or coursework in Construction Management, Civil Engineering, Architecture, Business, Project Management, or a related field is a plus

Ideal Candidate

The ideal candidate is organized, responsible, detail-oriented, and proactive. You should be comfortable following up on multiple open items, keeping project information organized, communicating with different parties, and helping the Project Manager keep projects moving forward.

This position is especially suitable for someone who wants to develop a long-term career in construction project management.

Work Location: On-site in San Jose, CA, with occasional local project site visits.
