Full Job Description

Job Overview

We are seeking a dynamic and organized Construction Office Assistant to join our team! The Construction Office Assistant provides administrative support to the Regional VP, Project Managers and the field employees by managing daily clerical tasks, client and vendor communications, and project documentation. This is a full-time non-exempt in office position. Hours are 8 AM – 4:30 PM, with a 30-minute lunch break.

Responsibilities

Project Documentation: Track and file contracts, submittals, Requests for Information (RFIs), change orders, and specifications.
Responsible for certified payroll data entry and submittal.
Act as a liaison for all clients, employees and vendors that need assistance.
Data entry, client billing, and invoice tracking (Excel).
Backend paperwork for new contracts, COIs, bond information, etc., uploaded into the client’s online portal (NYCHA/SCA/NYC).
Answering phones, filing documents and other office responsibilities as assigned.

Qualifications and Requirements

High school diploma or equivalent required. An associate or bachelor’s degree a plus.
3+ years in an administrative support role in a construction environment required.
3+ year of certified payroll experience required.
Must be a Notary Public.
Must be able to multi-task in a busy office.
Intermediate skills using Microsoft Office: Outlook, Excel, Word and some PowerPoint.
Must have attention to detail, accuracy of work product is important.
Knowledge of DOT regulations and laws is preferred.
This position is an in-office position with no opportunity for remote work.

Pay: $25.00 - $28.00 per hour
