Accounts Receivable (AR) Assistant– Manufacturing

Full Time | On Site

Location: Statesville, North Carolina

We serve B2B customers nationwide in a fast paced, growth focused environment built on operational discipline and accountability.

Position Summary

The Accounts Receivable (AR) Assistant is responsible for managing the invoicing and payment process from signed estimate to final payment collection. This role ensures accurate payment application, proper documentation, and coordination between Accounting, Sales, Production, and Logistics to maintain healthy cash flow and operational efficiency.

Key Responsibilities

Invoicing & Payment Processing

Convert signed estimates into invoices in QuickBooks
Apply incoming payments accurately to corresponding invoices in QuickBooks
Track customer deposits and confirm receipt before releasing orders to Production
Collect final payments prior to coordinating logistics or delivery
Follow up consistently on outstanding balances

Client Communication

Contact clients to explain payment methods, terms, and deposit requirements
Provide professional follow-up regarding payment status
Maintain clear documentation of all client payment communications

Documentation & File Management

Upload Proof of Delivery (POD) documents to the corresponding invoice in QuickBooks
File invoices with their associated Proof of Delivery in the company drive according to internal naming and folder structure standards
Maintain organized digital records for accounting and audit purposes

Internal Coordination

Send packing slips to Production once deposit is received
Confirm payment clearance before Logistics coordination
Update AR tracking logs in Excel and/or Google Sheets
Work closely with Sales, Customer Care, Production, and Logistics to ensure smooth order processing

Qualifications

Minimum one year experience in accounts receivable
Strong understanding of basic accounting principles
Experience with QuickBooks or similar accounting software
Proficiency navigating Excel and Google Sheets
High attention to detail and strong organizational skills
Strong computer skills required
Professional phone and email communication skills
Ability to manage multiple tasks in a fast-paced environment
Must speak English (Bilingual English/Spanish preferred)
