We are an integrative ambulatory practice serving a very active, diverse, and growing equestrian community throughout the greater Charlotte area. Our team of five veterinarians and seven support staff offers a full range of on-farm diagnostics and treatments, including digital radiology, ultrasound, gastroscopy, shockwave, laser therapy, bloodwork, dentistry, acupuncture, and chiropractic services

We are seeking a dedicated, organized, and upbeat Client Care Coordinator to join our growing team. The ideal candidate is a compassionate problem-solver and active listener who can adapt quickly to unexpected changes while supporting clients and coworkers with patience, positivity, efficiency, and exceptional attention to detail.

IN THIS ROLE, YOU WILL:

· Provide outstanding, welcoming client service by phone, email, and in person while strengthening long-term client
relationships.

· Use our veterinary practice management software, HVMS, efficiently and maintain accurate client and patient
information.

· Schedule appointments by balancing urgency, geographic location, estimated appointment length, and drive time for an ambulatory veterinary team.

· Monitor clinic email and voicemail and ensure inquiries are addressed promptly and professionally.

· Create and complete invoices, process billing according to client specifications, collect payments, and follow all cash and credit card handling procedures.

· Maintain accurate account balances and follow established opening, closing, and financial procedures.

· Prepare and maintain required documentation, including discharge instructions, external laboratory forms, Coggins forms, health certificates, new-client forms, and influenza/rhinopneumonitis statements.

· Perform in-house laboratory testing, including CBCs, chemistries ; prepare samples for external laboratories; and help maintain laboratory equipment and work areas.

· Support pharmacy and supply organization and clean, sterilize, and wrap surgical instruments.

· Maintain a clean, organized, and professional office environment and assist with additional administrative and clinical-support tasks as needed.

WHAT YOU BRING:

· Excellent customer service and active-listening skills.

· Strong organization, time management, follow-up, and attention to detail.

· Strong business writing and verbal communication skills.

· Equine experience or basic equine-industry knowledge preferred.

· Experience with veterinary practice management software, especially HVMS, preferred.

· The ability to learn laboratory, documentation, billing, and office procedures efficiently.

THE DETAILS:

· Full-time, on-site position based in Troutman, North Carolina.

· Five-day workweek, Monday through Friday.

· This role is not eligible for remote work.
