Job Description

Job Title: Operations Assistant

Reports to: Chief Operations Officer

Summary: The Arc of Loudoun advocates for, educates, serves, and supports people with disabilities and their families through our three Centers of Excellence: Ally Advocacy Center, Ability Fitness Center, and Aurora School.

The Operations Assistant is responsible for the day-to-day operation of The Arc of Loudoun’s office processes and tasks by providing C-suite administrative assistance and coordinating billing/accounts payable, accounts receivable, financial assistance for clients, and contract management.

Job Responsibilities

Executive Support:

· Calendar Management: Coordinate calendars, appointments, meetings, and related logistics for Chief Executive Officer and Chief Operations Officer to ensure that schedules are accurate and priorities are well managed.

· Communications: Screen and route phone calls, prepare professional correspondence, and serve as a responsive liaison among executives, clients, contractors, staff, and other stakeholders.

· Reporting and Meeting Support: Prepare expense reports, compile information, track follow-up items, and assist with presentation materials for leadership and operational meetings.

Financial Operations:

· Billing/Accounts Payable: Generate, review, and issue accurate invoices based on client contracts, approved services, and supporting documentation using the appropriate billing software.

· Accounts Receivable: Track incoming payments, post transactions, reconcile account activity, and monitor outstanding balances to support timely collection.

· Dispute Resolution: Research and resolve billing questions, discrepancies, and client inquiries with professionalism, accuracy, and a strong customer-service approach.

· Financial Reporting: Prepare accounts receivable aging reports, compile billing data, and assist the finance team with month-end close activities as needed.

· Compliance and Recordkeeping: Maintain accurate, organized, and confidential billing records in accordance with internal procedures and applicable requirements.

· Financial Assistance: Maintain accurate accounting for student/client funding assistance; prepare financial agreements in collaboration with senior staff; and conduct quarterly fund reviews with the internal stakeholders.

Contract Management

· Contracts: Review annual contract renewals for updates; coordinate revisions with senior staff, support timely routing for signature and submission and securely maintain contract records.

· Service Agreements: Maintain Purchase of Service Agreements for each student/client, ensuring purchase order amounts are accurate, documentation is complete, and signed agreements are returned by required deadlines.

· Annual Reports: Prepare annual cost sheets and related documentation.

Qualifications (Essential Experience /Knowledge, Skills & Abilities)

· Minimum of 2–3 years of experience in executive administrative support, billing, accounts payable, accounts receivable, bookkeeping, and contract coordination.

· Outstanding organizational and time management skills, excellent client service skills, resourcefulness, the ability to multi-task and manage competing priorities, and experience maintaining sensitive information with confidentiality and discretion.

· Exceptional written and verbal English communication skills

· Knowledge and proficiency in accounts receivable/billing/bookkeeping/finance concepts and practices.

· Proficiency in Microsoft Office, including Excel and Word.

· Experience using accounting, billing, or administrative software such as QuickBooks, Procare, TuitionExpress, Bloomerang, UKG, or similar platforms.

· Must be eligible for Virginia department of education / social services background clearance.

· Prior experience working in a nonprofit, human services, education, advocacy, or community-based organization preferred.

Education Requirements

· High school diploma or equivalent required.

· Associate’s or bachelor’s degree in business administration, accounting, finance, or a related field preferred.

Physical Requirements

· Must be able to remain stationary sitting or standing at a desk while utilizing a computer keyboard and mouse for extended periods of time.

· Routine movement required for tasks like operating printers/copiers, delivering mail, retrieving small packages weighing between 5 and 20 pounds, and related functions.

Professional Development and Training

· Attend all mandatory staff meetings.

· Attend required training and professional development.

· Complete other training related to field as assigned by supervisor.
