Client Care & Digital Experience Coordinator

Position Summary

The Guest Experience & eCommerce Coordinator serves as a key touchpoint for Tapper’s guests, ensuring prompt, professional, and hospitality-driven communication across all digital and phone channels.

This role is responsible for managing inbound phone calls, web chats, digital inquiries, and full eCommerce order fulfillment while supporting corporate, concierge-level, and event-related guest needs. The ideal candidate delivers a polished, luxury-level experience that reflects Tapper’s commitment to exceptional service and long-term guest relationships—both digitally and operationally.

Key Responsibilities

Guest Communication & Support

Serve as the primary responder for inbound phone calls, directing guests appropriately while resolving inquiries whenever possible.
Respond to web chat inquiries in real time, providing accurate information, warm hospitality, and clear next steps.
Manage incoming digital inquiries (email, website contact forms, sales inbox, chat) with timely and professional responses.
Route brand-specific inquiries appropriately.
Ensure all guest interactions reflect Tapper’s service standards, tone, and brand values.

eCommerce & Web Order Fulfillment

Process and fulfill web orders from start to finish, including:
Pulling merchandise and performing quality control
Processing orders in POS
Packaging, gift wrapping, and preparing handwritten thank-you notes
Shipping preparation and coordination
Monitor order status through completion and delivery.
Proactively communicate with guests regarding order updates, delays, or special requests.
Handle returns and exchanges.
Maintain accurate order tracking and updates in company systems (Asana and POS).
Provide occasional after-hours or weekend responses as needed to maintain a high-touch guest experience.

Corporate & Concierge Support

Assist with corporate orders, gifting inquiries, and special requests, coordinating with leadership, stores, or vendors as appropriate.
Support ring sizer requests and related guest correspondence.
Respond to donation inquiries received through digital channels and route appropriately.
Ensure seamless handoffs between corporate support and store teams for high-touch or VIP guests.

Guest Feedback & Reporting

Compile and manage bi-weekly guest reviews from Podium.
Track and log reviews across additional platforms as assigned.
Coordinate internal recognition documentation tied to guest reviews.
Create, distribute, and compile surveys for internal and external events, providing organized reporting and insights to leadership.
Identify recurring questions or issues and share recommendations to improve processes and guest experience.

Cross-Functional Collaboration

Partner closely with Executive Leadership, Marketing, Sales, Repair, and Merchandising teams to ensure alignment and seamless execution of guest-related initiatives.
Coordinate with store teams to support order fulfillment, guest follow-up, and special requests while maintaining clear communication and accountability.
Serve as a central point of connection between digital guest interactions and in-store experiences, ensuring consistency across all touchpoints.
Communicate recurring guest needs, trends, or operational challenges to appropriate departments to support continuous improvement.
Assist cross-functional teams with guest-experience-driven projects, launches, and service enhancements as needed.

Qualifications & Skills

Prior experience in customer service, hospitality, retail, or eCommerce support preferred.
Strong written and verbal communication skills with a polished, professional tone.
Ability to multitask and manage high volumes of inquiries across multiple channels.
High attention to detail and strong organizational skills.
Comfortable working with technology, including web chat platforms, order management systems, and CRM tools.
Calm, solution-oriented approach when handling guest concerns or escalations.
Appreciation for luxury retail, fine jewelry, and relationship-driven service.

Physical Requirements

Communicate effectively with guests, team members, and vendors by phone, email, chat, and in person.
Use a computer, POS system, CRM, and other business software to manage guest communications and order fulfillment.
Review digital and printed information with attention to detail and accuracy.
Handle jewelry, gift packaging, and other small items requiring fine motor skills.
Remain seated or stationary for extended periods and move throughout the store as needed.
Occasionally lift and carry merchandise, packages, or supplies up to 20 pounds.
Successfully manage multiple priorities in a fast-paced, guest-focused environment.
