Job Summary
The Billing Specialist at Stevens Point Orthopedics plays a vital role in managing billing and collection tasks for various providers within the orthopedic practice. Responsibilities include verifying and inputting charges, invoicing payors, and recording payments in Electronic Medical Records. This position involves thorough follow-up on all billing activities and preparing payments for deposit. Effective communication with payors and clinical partners ensures compliance with payer standards. Upholding the mission, policies, and initiatives of Stevens Point Orthopedics, while prioritizing patient confidentiality, is paramount for this role.
Essential Job Functions
- Verify and assess coding accuracy for services and supplies.
- Input charges for services and supplies into the Electronic Health Record (EHR).
- Prepare and submit bills to payors, including private, commercial, and government entities. Electronically submit claims or prepare CMS-1500 forms for mailing, attaching necessary notes or Explanation of Benefits (EOBs) based on claim type or payor requirements.
- Record and process all payments received, including those from payors and patients. Handle incoming billing calls, accept credit card payments over the phone, and generate itemized billing statements for patients as needed.
- Address inquiries from insurance carriers, analyze EOBs, handle claim resubmissions, and manage denials or appeals as necessary. Engage in regular phone communication with insurance representatives to ensure prompt payment.
- Process and issue refunds to patients and insurance companies. Contact patients with overdue accounts and coordinate collections efforts when authorized.
- Monitor daily patient and insurance payments, preparing bank deposits accordingly. Compile specified reports and summaries for the billing manager and administrator.
- Obtain patient insurance benefit details via online portals or telephone inquiries. Provide procedure estimates upon patient request.
- Maintain regular communication with receptionists and clinical staff regarding patient account status.
Job Qualifications
Minimum Required
- High school diploma or equivalent.
- Proficiency in medical terminology and medical coding.
- Minimum of 2 years of experience in modern medical office practices or patient care settings.
- Minimum of 2 years of experience in medical billing.
- Demonstrated experience in phone-based interactions with payors and patients.
Special Skills/Experience
- Completion of a 2-year college degree and/or equivalent certification in medical office administration and medical billing preferred.
- Registered Health Information Technician (RHIT), Certified Professional Coder (CPC), or Certified Professional Biller (CPB) credentials are advantageous.
- Thorough understanding of health insurance benefits and payment processes is essential.
- Strong organizational skills are necessary for managing multiple competing tasks effectively.
- Proficiency in Microsoft Excel is preferred.
- Previous experience in orthopedics and spine specialties is a plus.
- Excellent typing and computer skills are required.
- Clear and concise communication abilities, both orally and in writing, are essential.
- Ability to work independently and complete assigned tasks in a timely manner is crucial.
- Skilled in tactful communication with staff and providers, both in person and over the telephone, especially in challenging situations.
- Capable of comprehending and executing verbal and written instructions accurately.
- Detail-oriented approach to tasks is necessary.
