Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of daily operations, ensuring smooth office management, exceptional customer service, and efficient administrative support. Your proactive approach and technical proficiency will help foster a productive environment, streamline processes, and enhance communication across departments. Duties

Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Perform data entry tasks using spreadsheets, Microsoft Office applications, Google Workspace, and bookkeeping software to maintain accurate records.
Coordinate calendar management and schedule appointments for staff and clients, ensuring optimal time utilization.
Handle office management duties such as filing, organizing documents, proofreading correspondence, and maintaining office supplies inventory.
Provide exceptional customer support through client communication, addressing inquiries promptly via phone or email.
Assist with clerical tasks including word processing, document preparation, and basic bookkeeping using QuickBooks or similar software.
Support office efficiency by managing incoming and outgoing mail, filing systems, and maintaining organized digital and physical files.

Qualifications

Proven experience in office management or administrative support roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software.
Excellent computer literacy with the ability to quickly adapt to new technologies and technical tools such as QuickBooks and multi-line phone systems.
Strong communication skills—bilingual abilities are a plus—and professional phone etiquette.
Demonstrated experience in data entry, proofreading, filing, and general clerical tasks.
Prior experience in customer service or front desk roles within medical or dental settings is desirable.
Ability to multitask effectively while managing time efficiently in a fast-paced environment.
