Full Job Description

Position Summary

We are seeking a highly motivated and detail-oriented Order to Invoice Biller to join our team. This is a high-volume role responsible for the independent processing and validation of a large volume of daily orders. The ideal candidate thrives in a fast-paced environment, is comfortable managing changing priorities, and can quickly identify and resolve billing discrepancies while maintaining accuracy and efficiency. This role will report to the Billing Supervisor.

This position requires a self-starter who can analyze data, identify trends, research root causes, recommend solutions, and collaborate across departments to ensure timely and accurate invoicing. The successful candidate will serve as a key point of contact for internal teams and external vendors while supporting the Billing Supervisor with reporting, process improvements, and special projects.

Key Responsibilities

Order & Invoice Processing

· Independently process and invoice a high volume of orders daily while maintaining accuracy, productivity, and quality standards.

· Validate order data, Accounts Receivable (AR), and Accounts Payable (AP) information prior to invoicing.

· Ensure all billing transactions comply with established company policies and procedures.

· Identify, investigate, and resolve discrepancies related to pricing, order details, customer information, and billing data.

Data Analysis & Problem Resolution

· Monitor billing activity and identify recurring trends, process gaps, and data inconsistencies.

· Conduct independent research to determine root causes of errors and discrepancies.

· Document findings, recommend corrective actions, and escalate issues when appropriate.

· Partner with internal stakeholders to implement process improvements and prevent recurring issues.

Cross-Functional Support & Communication

· Serve as the primary point of contact for Tier 1 billing inquiries from internal departments and external vendors.

· Collaborate with Operations, Finance, and other business partners to resolve issues efficiently.

· Maintain clear and professional communication across multiple departments.

Reporting & Process Improvement

· Generate, analyze, and maintain reports using Excel.

· Manage and organize large datasets to support billing operations and decision-making.

· Utilize Pivot Tables, VLOOKUP/XLOOKUP, and other Excel functions to analyze data and identify trends.

· Create charts and visual reports that communicate key findings and performance metrics.

· Support the Billing Supervisor with reporting, audits, special projects, and departmental initiatives.

Qualifications

Required Experience

· 1-2 years of billing and invoicing, or related operations experience.

· Experience working in a high-volume, fast-paced environment with demanding turnaround expectations.

· Experience validating and processing large volumes of transactional data.

· Customer support or customer service experience.

· Experience collaborating across multiple departments and stakeholders.

· Experience with order-to-invoice processes.

Technical Skills

· Intermediate Excel skills required.

· Strong proficiency with:

o Pivot Tables

o VLOOKUP/XLOOKUP

o Data validation

o Reporting and analytics

o Chart creation and data visualization

· Ability to organize and manage large data sets with accuracy.

· Strong analytical and problem-solving skills.
