Overview

Paparone Insurance is seeking a friendly, organized, and dependable Office Receptionist / Administrative Assistant to join our team! As the first point of contact for many of our clients, you will help create a welcoming and professional experience while supporting the daily operations of our office. This is an excellent opportunity for someone who enjoys working with people, is comfortable with technology, and takes pride in keeping details organized and tasks on track. For someone interested in building a career in the insurance industry, we welcome the opportunity to provide training and support future growth into a Customer Service Representative role.

Primary Responsibilities

Serve as the first point of contact for clients, visitors, vendors, and callers in a friendly and professional manner.
Answer and direct incoming telephone calls to the appropriate team member.
Monitor general office email and route requests promptly.
Greet clients and visitors and help maintain a welcoming front-office environment.
Perform accurate data entry and keep client contact information and office records up to date.
Scan, copy, file, and organize insurance and administrative documents.
Process incoming and outgoing mail.
Collect basic client information and direct insurance-related questions to the appropriate licensed team member.
Receive basic claim information and route it to the appropriate team member.
Follow up with clients to obtain missing documents, signatures, or administrative information.
Assist producers and service staff with general clerical and administrative tasks.
Order and maintain office supplies.
Handle confidential client, financial, and policy information with care and discretion.

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for document creation and communication.
Strong computer literacy with the ability to navigate various software applications efficiently.
Excellent organizational skills with keen attention to detail for data entry, proofreading, and filing tasks.
Exceptional phone etiquette and communication skills for effective customer support and client interaction.
Knowledge of office management practices including calendar management, office supply procurement, and basic bookkeeping.
