Full Job Description

Position Summary:

We are seeking a reliable, detail-oriented Bookkeeper / Administrative Specialist to manage day-to-day financial transactions, administrative tasks, and customer interactions for a busy automotive repair facility. The ideal candidate will balance financial accuracy with strong interpersonal skills, seamlessly handling shop records, vendor relations, and front-desk customer service when needed.

Key Responsibilities:

Financial & Administrative Management: Reconcile daily shop receipts, manage Accounts Payable (A/P) and Accounts Receivable (A/R), monitor cash flow, and process employee payroll.
Vendor Parts & Accounting: Accurately log vendor invoices, reconcile parts accounts (matching delivery tickets to Repair Orders), manage cores and returns credit memos, and perform month-end vendor statement reconciliations.
Tax & Reporting Support: Organize monthly/quarterly tax documentation, track sales tax compliance, and prepare clear financial reports for accounting handoffs.
Customer & Vendor Service: Communicate professionally with vendors, parts suppliers, and clients over the phone and in person to resolve account inquiries, process payments, and manage invoices.
Front-Desk Support: Serve as a welcoming presence by greeting walk-in customers and stepping in to assist at the front counter whenever the shop floor or service advisers are busy.
Software Operations: Utilize shop management systems and accounting software to log parts, labor, estimates, and final billing.

Qualifications:

Proven experience in bookkeeping or office management (automotive industry experience is a major plus).
High proficiency in QuickBooks, standard office software (Excel, Word), and shop management tools (experience with Shopware is a plus).
Strong organizational skills with strict attention to detail and confidentiality.

Ability to multitask, handle front-desk flow during peak hours, and maintain strict confidentiality.

Pay: $18.00 - $25.00 per hour
