Full Job Description

We are seeking a highly capable Executive Assistant & Strategic Support Associate to work directly with executive leadership in a fast-moving, diversified business environment.

This role is more than a traditional administrative position. The right person will provide executive support, help manage office priorities, and take ownership of a wide range of problems and projects. Some assignments will be secretarial in nature, while others will involve business operations, coordination, research, follow-up, and problem solving.

We are looking for a trusted right-hand person: someone who is organized, technologically savvy, positive, discreet, and capable of thinking critically about how to get things done.

Key Responsibilities

Executive Support

Manage scheduling, calendars, calls, and meetings.
Draft and edit correspondence, memos, and internal documents.
Organize files, records, deadlines, and follow-up items.
Handle confidential information with discretion.

Strategic and Business Support

Take ownership of assigned problems and drive them toward resolution.
Research issues and present practical options.
Coordinate with employees, vendors, attorneys, consultants, and outside parties.
Track open items and ensure follow-through.
Assist with business, legal, sales, construction, property management, and operational matters as needed.

Real Estate Operations Coordination

Support as needed in lease management, renewals, compliance tracking and tenant communications
Support as needed in collections and receivables management
Support various operational projects and initiatives
Support as needed in residential property closings
Assist with mortgage administration and loan-related processes
Assist as needed with permit applications and approvals
Support construction related administrative and project coordination activities

Technology and Systems

Incorporate AI/LLM’s into the workflow to improve outcomes.
Use Microsoft Office, Google Workspace, email, calendars, spreadsheets, PDFs, and other business software.
Help improve digital organization and workflow.

Qualifications

Minimum of 3 years’ experience as an executive assistant, office manager, project coordinator, operations assistant, legal assistant/paralegal, real estate assistant, or similar role preferred.
Associates degree in any field, Bachelors or higher preferred.
Strong computer and organizational skills required.
Excellent writing and follow-up skills required.
Experience in real estate, construction, property management, legal, finance, or business operations helpful.
Must be able to work independently and handle sensitive information professionally.

Work Environment

This is an in-office role supporting executive leadership. The position requires professionalism, flexibility, confidentiality, and the ability to manage a wide variety of responsibilities in a busy office environment.

Compensation

· Salary: up to $85,000, commensurate with qualifications and experience

· 401(k) with employer match

· Medical/dental/vision insurance coverage

· Two (2) weeks of paid vacation annually

· Five (5) paid sick days annually

· Six (6) paid holidays per year

· Annual Bonus
