Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster a productive, welcoming environment. You will handle a variety of administrative tasks, coordinate schedules, manage communications, and utilize essential office software to keep everything running seamlessly.

Duties

Coordinate calendar management including but not limited to scheduling appointments, meetings, and conference calls efficiently.
Prepare correspondence, reports, presentations, and client documentation.
Manage client communications and maintain accurate records in client record management (CRM) system.
Organize seminar logistics, including venue bookings, registrations, catering, and presentation materials.
Travel periodically to local seminar locations to assist with event setup, registration, and coordination.
Liase with venues, suppliers, and external stakeholders.
Maintain office systems and administrative processes.
Support the team with ad hoc projects and administrative tasks as required.

Experience

Proven experience in an office setting with strong organizational skills, executive assistant, or office coordination role. Experience in the financial services industry preferred.
Demonstrates proficiency in Microsoft Office programs (Word, Excel, Outlook) and familiarity with productivity software.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
High attention to detail and the ability to multi-task.
A professional and personable approach when interacting with clients.
The ability to work independently and as part of a team.
A current driver's license and willingness to travel locally periodically for seminars.
