Full Job Description

Job Summary

We are seeking an energic and compassionate Patient Care Coordinator to join our dental office team. In this vital role, you will serve as the primary point of contact for patients, ensuring seamless communication and efficient management of their dental health. Your approach will help patients experience positive visits while maintaining high standards of confidentiality and compliance with dental health regulations. This position offers an exciting opportunity to make a meaningful impact on patients’ lives by coordinating appointments, managing dental records, and supporting providers with administrative tasks.

Duties

Greet existing and new patients kindly. Retrieve appropriate paperwork/signatures, establish insurance information/method of payment upon patient arrival, and assist with obtaining any existing x-rays from previous providers.
Manage patient communication with the office by directing phone calls appropriately and checking/managing messages.
Manage the schedule by filling open spots, scheduling the appropriate amount of time for each provider and each procedure, confirming appointments, watching and responding with texting software and email for cancellations or change requests made by patients.
Print, package, and send monthly statements. Call patients for overdue balances and establish how they will be taken care of. Order more statement supplies when needed.
Take and apply payments by card, cash, check, or CareCredit in person or over the phone along with monitoring inhouse payment plans.
Manage the front office area including the waiting room and restrooms by maintaining a clean and organized environment.
Work closely with the insurance coordinator to add insurance information and verify patient benefits.
Send patient referrals online to specialty offices, and update patient charts with specialty treatment that was done outside of the office.
Be sure patients understand their treatment costs and go over pre-treatment-estimates with them.
Periodically make posts on the business Facebook page advertising services that are provided at Algoma Family Dentistry.
Verify lab cases are here for scheduled patients.
Uphold patient confidentiality at all times while managing sensitive health information securely.

Qualifications

High school diploma or equivalent (required)
Previous dental or medical office experience preferred, but not required
Knowledge of dental terminology and insurance processes preferred, but not required
Excellent organizational skills with an emphasis on meticulous attention to detail
Strong proficiency in Microsoft Office applications (Word, Excel, Outlook)
Excellent customer service skills, with the ability to communicate clearly and empathetically with diverse and apprehensive patient populations
Ability to multitask effectively in a fast-paced environment while maintaining professionalism and empathy
Strong communication skills to interact confidently with patients, providers, and insurance companies
