Full Job Description

We are currently seeking a professional, experienced Facilities and Maintenance Coordinator. This role will work with our Facilities Director to oversee our warehouse operations. This role is primarily administrative facility management. The position ensures our facilities remain safe, clean, functional, and fully operational every day.

The position requires previous experience with day-to-day operations of buildings and facilities to include multi-state locations. Great opportunity for an experienced Facilities and Maintenance Coordinator with career growth potential.

This position is in-office. No remote or hybrid work consideration.

RESPONSIBILITIES INCLUDE BUT NOT LIMITED TO:

Work and support the Facilities Director to oversee the day-to-day operations of buildings or facilities.

Procurement experience, obtaining quotes for products and/or services

Contact vendors and or building management to make repairs or report concerns.

Maintains inventory of furniture and equipment

Conduct routine inspections of premises and upon completion of repairs

Ensuring that telephones are answered in a professional and timely manner and customer inquiries are dealt with in accordance with service standards and within agreed response times.

Issuing access cards and keys as required, ensuring adherence to all relevant security processes, and logged into the system.

Review vendor workorders and invoices for reconciliation to ensure contractors recieve timely payments

Manage third-party vendors for forklift, dock equipment, electrical, plumbing and HVAC repairs.

Assists with maintaining documentation for insurance, vendor service agreements and specific building requirements for all contractors and vendors

Respond quickly to urgent facility issues or cleanup requests.

Work with the Facilities Director to schedule and oversee mandatory fire, safety and building inspections

Ensure compliance with OSHA and local building safety regulations.

Maintain logs of all completed repairs and inspections.

Coordinate all forklift certifications for all locations; Train the Trainer cerficiation preferred. If no certification, willingness to be certified is required.

Perform additional tasks assigned by Facilities Manager.

EDUCATION, EXPERIENCE AND SKILLS:

High school diploma or equivalent required.

Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)

3+ years in facility maintenance preferred.

Ability to lift up to 50 lbs with no restrictions.

Forklift certification and/or OSHA training a plus.

Willingness to handle occasional after-hours facility emergencies.

Strong computer skills with ability to quickly learn new systems.

Must possess excellent written and verbal communications skills

Must have excellent interpersonal and team building skills

Dependable, organized, and able to work flexible hours

Occassional travel required to CA, CO, LA, TN and TX locations to provide training to operations teams.
