Job Summary

We are seeking an energetic and detail-oriented Front Desk & Growth Coordinator to join our MedSpa team. In this pivotal role, you will serve as the welcoming face of our clinic, managing patient interactions, scheduling, and administrative support while actively contributing to the growth and success of our practice. Your enthusiasm and organizational skills will help create a positive experience for clients and support the clinic’s operational excellence. This paid position offers an exciting opportunity to combine exceptional customer service with vital administrative functions in a fast-paced healthcare environment.

Duties

Greet patients warmly, verify appointments, and manage check-in/check-out procedures with professionalism and efficiency
Handle patient inquiries via phone and in person, providing accurate information about services, treatments, and policies
Schedule appointments using EMR (Electronic Medical Records) systems such as Epic, Meditech, or Athenahealth, ensuring optimal clinic flow
Maintain meticulous medical records, including documentation review, medical billing, CPT coding, ICD-9/10 coding, and care plan updates in compliance with HIPAA regulations
Support medical administrative tasks such as filing, data entry (including 10 key typing), and managing electronic health records (EHR systems) like eClinicalWorks or other clinic-specific platforms
Assist with medical billing processes, including insurance verification and claims submission for Medicare and health insurance providers
Promote clinic services and growth initiatives by engaging with patients about new treatments or promotions to enhance patient retention and satisfaction

Qualifications

Proven experience in a medical office setting with strong knowledge of medical terminology, records management, and health information systems
Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; experience with electronic health record management is highly preferred
Knowledge of medical coding including CPT codes and ICD-9/10 coding for accurate documentation and billing purposes
Excellent customer service skills with the ability to communicate effectively via phone etiquette and in-person interactions
Bilingual abilities are a plus to serve diverse patient populations effectively
Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel) and typing skills (including 10 key typing)
Understanding of HIPAA compliance standards and clinical confidentiality policies to ensure patient privacy at all times
Previous clinic experience involving medical scheduling, medical reception duties, or front desk responsibilities is highly desirable
Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail in documentation review and office management tasks
