Full Job Description

Job Summary:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant for this exciting and unique position in our fast-paced tax office. The ideal candidate will play a pivotal role in ensuring smooth day-to-day operations, client support, and internal coordination during critical periods such as tax season. This role requires discretion, professional communication, multitasking, and a strong understanding of accounting firm operations.

Key Responsibilities:

Administrative Support:

Manage complex calendars, including scheduling client meetings, internal reviews, and filing deadlines.
Draft, format, and proofread engagement letters, reports, and client correspondence.
Monitor and track key tax deadlines and ensure timely filing of client returns.
Handle confidential information with utmost discretion.

Client Coordination:

Act as the first point of contact for client inquiries and coordinate communications between clients and tax professionals.
Prepare and send client organizers, engagement letters, and intake documentation.
Collect and organize client tax documents through secure portals or in-office intake.

Project Management & Workflow:

Track the status of tax returns, extensions, and deliverables using project management software.
Assist with e-filing of tax returns and maintaining accurate records of acknowledgments.
Coordinate logistics for meetings, webinars, and internal training sessions.

Office Operations:

Support onboarding of seasonal staff during busy periods.
Order office supplies, maintain equipment, and assist with light bookkeeping or timesheet reconciliation if needed.
Liaise with IT and administrative vendors when needed.

Qualifications:

Education & Experience:

Associate's or Bachelor’s degree preferred.
Minimum 3 years of experience in an executive assistant or administrative support role, ideally within a CPA firm or financial services firm.
Familiarity with public accounting workflows and tax deadlines strongly preferred.

Technical Skills:

Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
Experience with accounting/tax software (e.g., Ultratax, Lacerte, ProSystem fx, or similar).
Comfortable using document management systems and secure client portals.

Soft Skills:

Exceptional time management and multitasking skills.
Ability to work independently and under pressure, especially during tax season.
Strong verbal and written communication skills.
High attention to detail and accuracy.
Professional demeanor with a client-service mindset.

Preferred Traits:

Familiarity with IRS deadlines, forms, and client requirements.
Positive attitude and ability to remain calm under pressure.
