Full Job Description

Position Summary

The Front Desk Receptionist serves as the first point of contact for residents, families, visitors, vendors, and staff. This position is responsible for creating a welcoming, professional environment while managing front desk operations, answering phones, assisting visitors, and providing administrative support. The receptionist plays an important role in ensuring excellent customer service and maintaining the safety and security of the facility.

Essential Duties and Responsibilities

Greet residents, families, visitors, vendors, and staff in a courteous and professional manner.
Answer and direct incoming phone calls promptly and accurately.
Maintain the visitor sign-in/sign-out process and issue visitor badges when applicable.
Monitor the front entrance and notify appropriate staff of visitors or deliveries.
Provide general information regarding the facility, visiting hours, and services.
Accept, sort, and distribute incoming mail and packages.
Prepare outgoing mail and coordinate shipping when needed.
Maintain a clean, organized, and professional reception area.
Assist residents and families with questions and direct them to the appropriate department.
Support Human Resources and Administration with filing, copying, scanning, data entry, and other clerical duties.
Schedule appointments and meeting rooms as assigned.
Maintain confidentiality of resident and employee information in accordance with HIPAA and facility policies.
Respond calmly and appropriately during emergencies by following established facility procedures.
Report maintenance, security, or safety concerns to the appropriate department.
Assist with special projects and other duties as assigned.

Qualifications

High school diploma or GED required.
Previous receptionist, customer service, or administrative experience preferred.
Experience in healthcare, assisted living, or long-term care is preferred but not required.
Proficient in Microsoft Office (Word, Excel, Outlook).
Strong verbal and written communication skills.
Excellent organizational and multitasking abilities.
Professional appearance and positive attitude.
Ability to maintain confidentiality and exercise discretion.

Knowledge, Skills, and Abilities

Exceptional customer service skills.
Ability to communicate effectively with residents, families, staff, and healthcare professionals.
Strong attention to detail and accuracy.
Ability to prioritize tasks in a fast-paced environment.
Dependable, punctual, and self-motivated.
Ability to remain calm and professional during stressful situations.

Physical Requirements

Ability to sit or stand for extended periods.
Frequent use of computers, telephones, and office equipment.
Ability to lift up to 25 pounds occasionally.
Ability to walk throughout the facility as needed.

Work Environment

This position is performed in a healthcare environment with frequent interaction with residents, visitors, and staff. The receptionist may occasionally be exposed to infectious illnesses and must follow all infection control policies and procedures.

Pay: From $12.00 per hour
