Full Job Description

Job Description:

The Project Administrator position is responsible for providing a high level of coordination support in a variety of areas, partnering with construction project management and field staff. The Project Administrator will serve as an important part of our project management team from the initial job development process through to project completion.

Duties and responsibilities:

Review and interpret contract and subcontract documents to ensure full understanding of project requirements and obligations.

Communicate effectively with clients, owners, general contractors, and subcontractors as required to support successful project execution.

Collect, organize, and transmit all relevant project information from field supervisors, general contractors, and subcontractors to the project management team for processing.

Prepare and maintain all project start-up and closeout documentation, including managing both electronic and hard copy project files.

Coordinate documentation, approvals, and correspondence between project managers, subcontractors, and clients.

Oversee compliance with State and Federal reporting requirements.

Perform additional duties and administrative tasks assigned to support the project teams.

Manage the entire project package:

Assemble and maintain accurate hard copy and electronic project folders.

Order drawings and specs as needed for field supervision.

Update COP/RFI and all other tracking logs as directed by project management.

Review contract requirements for pay application procedures and timelines.

Manage sub-contractor contracts and pay applications.

Manage project permit process and inspection tracking.

Prepare any project correspondence as directed by project management.

Assist in maintaining a current and accurate project SOV and any project specific financial forms.

Collecting supplier quotes and compiling submission packages.

Assist with keeping up to date project schedules, procurement logs, and financial trackers.

Prepare all submittal and O&M manuals as directed.

Other duties as assigned.

Preferred Qualifications:

Bachelor’s degree in Business Administration, Construction Management, or related field (or equivalent experience).

2+ years of experience in project administration or commercial support role, preferably in construction, engineering, or related industries.

Strong organizational and time management skills with the ability to handle multiple priorities. • Excellent communication and interpersonal skills.

Proficient in MS Office (Excel, Word, Outlook) and project management software (e.g., eSub or similar).

Attention to detail and accuracy in documentation and financial tracking.

Job Type: Full-time

Pay: $25.00 - $30.00 per hour
