Institute for Black JusticeEmployment OpportunityFinance & Grants Coordinator II (Part-Time)

Location: Tacoma, WA (Hybrid) Compensation: $33.00 to $35.00 per hour Hours: Approximately 20–25 hours per week Schedule: Flexible (One mandatory in-office day each week) Benefits: Part-time position; not eligible for employee benefits. Reports To: Chief Executive Officer and Chief Administrative Officer (or designee)

Position Summary

Institute for Black Justice (IBJ) seeks an experienced Finance & Grants Coordinator to oversee day-to-day financial operations, bookkeeping, payroll administration, grant financial management, and financial reporting. The Coordinator will work closely with IBJ leadership and the organization's external accounting firm, which provides tax preparation, annual financial statements, and technical accounting support.

Essential Duties and Responsibilities

Financial Management

Manage day-to-day bookkeeping and accounting functions.
Process accounts payable and accounts receivable.
Prepare vendor payments and reimbursements.
Maintain accurate general ledger and financial records.
Reconcile bank and credit card accounts.
Monitor organizational cash flow.
Assist with monthly and annual budget tracking.
Prepare monthly financial reports for leadership.

Grant Financial Management

Prepare grant reimbursement requests.
Monitor grant budgets and expenditures.
Track restricted funding and grant allocations.
Prepare and submit grant financial reports and supporting documentation.
Ensure compliance with grant financial requirements.
Maintain documentation for grant monitoring and audits.

Payroll Administration

Process biweekly payroll through Gusto.
Maintain employee payroll records.
Process payroll changes, PTO balances, deductions, reimbursements, and benefit-related payroll entries.
Coordinate payroll reporting and year-end payroll documentation with the external accounting firm.

Accounting Firm Coordination

Serve as the primary liaison with IBJ's external accounting firm.
Provide financial documentation necessary for monthly review, annual tax preparation, audits, and financial statements.
Assist with implementing accounting recommendations and maintaining internal financial controls.

Compliance & Administration

Maintain financial files and supporting documentation.
Assist with annual audit preparation.
Support internal financial policies and procedures.
Maintain confidentiality of financial and personnel information.
Perform other finance and grant administration duties as assigned.

Minimum Qualifications

Associate's degree in Accounting, Finance, Business Administration, or related field required.
Bachelor's degree preferred.
CPA or CPA candidate strongly preferred.
Minimum three (3) years of accounting or bookkeeping experience.
Experience with nonprofit accounting and grant-funded organizations preferred.
Prior experience invoicing state government agencies and managing state government contracts strongly preferred.
Experience with Gusto payroll or similar payroll software.
Proficiency in QuickBooks Online or comparable accounting software.
Strong Microsoft Excel skills.

Work Schedule

Flexible hybrid schedule.
Approximately 25–30 hours per week.
One mandatory in-office day each week.
Remaining hours may be worked remotely.
Additional in-person meetings may be required for audits, grant reviews, or organizational planning.

Pay: $33.00 - $35.00 per hour
